Summary:

Reporting directly to the Co-CEO, the Executive Office Manager provides executive support in a one on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. 

The Executive Assistant also serves as a liaison to oversees special projects. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

All employees are responsible to follow all of Nutrition Corp. protocols of Food Safety.


Essential Duties:

• Responsible for scheduling and managing the CEO’s calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining an organized office.

• Organizes and coordinates international/domestic travel and related requirements to include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports. 

• Provides support in arranging Finance meetings including collation of speaking notes and/or briefing notes, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.

• Works closely with the CEO on special projects.

• Proofreads, answers, and composes routine correspondence both hand written and electronic.

• Supports and coordinates meeting arrangements including teleconferences and minute taking as required.

• Coordinates, plans, and organizes small-to large-scale meetings.

• Performs general administrative and clerical tasks such as answering phones, faxing, mailing, filing and photocopying.

• Contributes to the excellent reputation of the CEO’s office through professional, friendly and respectful interactions internally and externally.

• Supports the Chief Marketing Officer, Chief Financial Officer, Chief Medical Officer and Chief General Counsel

• Oversees the Marketing Administrative Assistant position 

• Performs other duties as assigned

• Excellent technical proficiency in ERP systems and spreadsheets

Physical Demands:

While performing the duties of the job, the employee regularly stands and sits for a long period of time. The position requires use of hands, fingers, and ability to talk and hear.  Use of company communication devices, laptop, desktop, software/ app-based platforms.  


Position Type/Expected Hours of Work:

This is a full-time position. Standard days and hours of work may vary time to time based on business demand which include weekends or long hours.

Education Required

• Preferred Bachelor’s Degree in related field

• 10 years of working experience as an Executive Assistant for C level employees or other High-Level Management.

• Excellent verbal and written communication skills

• Exceptional organizational and time-management skills

• Strong regard for product quality and safety standards

• Meticulous and diligent
