Reports to:

Summary:
The Marketing Executive Assistant provides direct support to the Company’s Chief Marketing Officer while also playing a key role supporting numerous brand initiatives across the Marketing team. The position requires executive, administrative, marketing, and technical skills to fulfill the job functions. The ideal candidate will have experience with MS office suite including PowerPoint and excel, marketing campaign developments, and content production and budget management.
All employees are responsible to follow all of Nutrition Corp. protocols of Food Safety.
Essential Functions:
Executive Team Administrative Support
- Responsible for scheduling and managing the CMO’s calendar including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining an organized office.
- Organizes and coordinates international/domestic travel and related requirements to include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports.
- Provides support in arranging Finance meetings including collation of speaking notes and/or briefing notes, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.
- Supports and coordinates meeting arrangements including teleconferences and minute taking as required.
Creative Production Assistance & Coordination
- Assist in the planning and execution of creative production through reaching out to talent, renting any necessary equipment, booking locations picked by content director, or any details delegated by production coordinator/manager.
- Assist digital media team on set through packing/unpacking company vehicle, keep video village and other areas of shoots organized, keep paperwork such as signed talent forms organized, and assist where needed on set.
- Communicating with outside talent and crew as needed for production planning needs. Keep them updated on any changes as well as inform production coordinator/manager informed of changes on their end. This includes distributing call sheets when appropriate.
- Keeping various paperwork organized physically as well as in One Drive. This includes talent W9 forms, talent release forms, corporate card receipts, any other paperwork pertaining to shoots such as Certificate of Insurance for locations.
Brand Merchandise & Collateral
- Oversee branded merchandise development and work ith outside vendors for merchandise design, procurement and production
- Coordinate merch shipping to athletes/influencers/business partners.
- Work with Accounts Payable on invoice processing & payment tracking.
- Coordinate company sponsorships for events and fundraisers. Onboard athletes/influencers/business partners with meal plan set up and introduction emails.
- Performs other duties as assigned.

Position Type/Expected Hours of Work:
This is a full-time position. Standard days and hours of work may vary time to time based on business demand which include weekends or long hours.

Required experience/education:
3-5 years of working experience as an Executive Assistant for C level employees or other High-Level Management preferred
3- 5 years working with/ supporting a Marketing team strongly preffered
High School Diploma/G.E. D/Equivalence
Knowledge of MS Windows Operating System, Mac Operating System preferred
Work Authorization/Security Clearance (if applicable)
