We are currently looking for an Executive Assistant (Construction) to work on multiple renovation projects with a large state agency. The position will be primarily located in Albany, NY.
Position Scope
This position is in the Division of Strategic Operations within the Design and Construction Group (D&C) in the Office of General Services (OGS). The Administrative Analyst will be responsible for providing administrative assistance to the Division of Strategic Operations.
Daily Task
Track time and attendance of staff in the Division of Strategic Operations
Track performance evaluation due dates for staff within the Strategic Operations Group
Assist in preparation of project status reports
Follow up on action items assigned to various staff to keep forward progression on initiatives and tasks
Assist with development of Organization wide communications
Assist in the Employee Inquires and Suggestion management and progress
Provide assistance with coordination of meetings, as needed
Review and update business workflow processes and procedures within manuals
Conduct basic data entry, management, and updating for D&C Master Specifications
Assist in the management of assigned construction projects as directed
Perform contract document review and basic scheduling requirements
Training Specific Duties
Schedule space for trainings to be conducted as needed and in conjunction with Training Coordinator.
Maintain records for training courses – registration approvals and attendance
Assist with obtaining quotes for various outsourced trainings
Assist with management of SharePoint training calendar and training content
Conduct training evaluations and assist in identifying improvement opportunities
Monitor and review the progress of trainees through questionnaires and discussions with managers and other personnel.
Required Qualifications
1 year experience in construction building/rehabilitation projects
3 years managing professional office spaces
Efficient skills utilizing Windows / Outlook / Word / Excel
Ability to communicate clearly and concisely; both verbally and in writing
Proficient with web-based submittal collaboration systems
Preferred Qualifications
Public agency experience
College Degree
