Job Summary: Scheduling Coordinator (Patient Service Representative, Patient Advocate)
The Scheduling Coordinator’s role is important to practice success and is considered an administrative role with sales responsibilities. The Scheduling Coordinator will be responsible for ensuring all patients are responded to promptly and provide an excellent representation of the practice during all correspondence.
Duties and Responsibilities:
Coordination of proper registration and forms necessary for appointment.
Verify insurance when applicable.
Greet patients warmly and notify team of patient’s arrival. Maintain awareness of patient’s wait time and facilitate with team.
Enter all patient information accurately and promptly.
Communicate schedule changes with practice team in a timely manner; work diligently to fill any open slots as they become available.
Maintain a high understanding of the practice’s lead to sales process.
Nurture leads and opportunities as defined by the lead to sales process training as directed.
Be knowledgeable about the providers, types of care, promotions, and financing options available so that the lead’s questions are answered appropriately.
Coordinate lead’s necessary consult appointment and team member hand offs.
Collect patient co-pays and enter into the practice management software.
Use Salesforce accurately, by entering correct notes and contact logs to ensure each contact is documented.
Maximize the use of Salesforce by understanding the features and progressing your knowledge through the resources available.
Maintain individual and practice statistics (KPI-Key Practice Indicators) as assigned.
Perform other duties as required.
Required Skills and Abilities:
Excellent written and verbal communication skills
Superior interpersonal and customer service skills
Has a professional and demeanor and pleasant phone voice
Basic computer skills required and proficiency in MS products a plus
Ability to maintain persistency and positive call voice during periods of less than friendly respondents.
Able to use telephone while simultaneously using computer to schedule appointments
Education and Experience:
Highschool diploma required, higher education preferred.
1 years of prior call or customer service experience preferred.
Fluent in English required and Spanish as second language is a plus.
