What We Are Looking For

As the Controller at Full Life, you'll have the opportunity to take the lead role in managing the financial aspects of our nonprofit organization. Your responsibilities will include spearheading financial planning, budgeting, accounting, payroll, and billing, all to support our mission of making a positive impact in the world. You'll be responsible for managing our financial strategies, applying appropriate accounting principles, and supervising administrative staff involved in financial processes. Additionally, you'll play a critical role in supporting fundraising and grant projects by preparing budgets and accounting for funds.


A typical day in the life of a Controller at Full Life will involve bookkeeping, payroll processing, financial planning, and financial administration of the nonprofit organization. You'll work with other administrative staff involved in financial processes and ensure that the appropriate accounting principles are applied to further our progress toward our mission while also supporting the financial aspect of the agency. Financial Management

  • Record and pay accounts payable, billing, invoicing, and collecting from customers, recording receivables, payroll, remitting taxes, accounting for fixed assets, reconciling bank and other accounts, and maintaining a system of accounts with supported documentation.
  • Supervise the Billing Manager, coordinating processes and ensuring accurate and timely Medicaid Waiver billing.
  • Create and maintain accurate asset inventory, prepaid assets, and current liabilities.
  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments; and oversee all financial, project/program, and grants accounting.
  • Coordinate and lead the annual audit process; liaise with external auditors and the finance committee of the board of directors and assess any changes necessary. Prepare all documents and audit schedules requested by the auditor through the engagement process and audit process.
  • Oversee and lead annual budgeting and planning process in conjunction with the E.D.; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team abreast of the organization's financial status.
  • Manage organizational cash flow and forecasting.
  • Implement and maintain a robust contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
  • Update and implement all necessary financial business policies, SOPs, and accounting practices; maintain the finance department's overall policy and procedure manual.
  • Effectively communicate, advise, and present critical financial matters to the Executive Director, Board Treasurer, and the Board of Directors Finance Committee.
  • Support fundraising and grant projects by preparing budgets and accounting for funds.

Payroll

  • Maintain a complete and accurate database of employee status, positions, participant assignments, and compensation details.
  • Accounting audit of all timesheets adhering to FLSA requirements and internal policies.
  • Complete the master time sheet with all hours and oversee the payroll provider to ensure accurate and timely pay.
  • Track bonuses, PTO, incentives, stipends, and other compensation-related benefits.
  • Reconcile, track, and process payments for mileage and other employee expenses monthly.

Accounts Payable

  • Reconcile payments to vendors, maintaining approved invoices, packing slips, and other supporting documentation.
  • Maintain accurate general ledger code and approve disbursements of funds to other departments.
  • Create payments to vendors.
  • Accounting audit of all timesheets adhering to FLSA requirements and internal policies.
  • Complete the master time sheet with all hours and oversee the payroll provider to ensure accurate and timely pay.
  • Track bonuses, PTO, incentives, stipends, and other compensation-related benefits.


Administration

  • Administer company liability and EPLI insurance programs and support outsourced partners.
  • Coordinate with the Director of People and Self-funded unemployment insurance company to review charges, submit necessary financial reports, and determine annual deposit amounts.
  • Enhance Full Life's visibility in the community and access to current and new funding sources.


What You'll Bring

  • A B.A. in Organizational Management, Accounting, or a related field from an accredited school or equivalent experience is preferred.
  • The candidate must have experience applying generally accepted accounting principles (GAAP) in a nonprofit environment.
  • Ideally, the candidate should have at least 2 years of experience in financial and operations management, with financial experience in a nonprofit environment.
  • The ideal candidate should have a successful track record of being responsible for the quality and content of financial data, reporting, and audit coordination for a division or significant program area.
  • The candidate should be able to translate financial concepts to non-finance colleagues, be technology-savvy, and possess excellent communication and relationship-building skills between supervisors, employees, co-workers, families, participants, and government agencies.
  • The candidate should have keen analytic, organizational, and problem-solving skills and be able to prioritize, negotiate, and work with a variety of internal and external stakeholders.
  • The position requires working under pressure, managing multiple projects, meeting deadlines, and extensive use of judgment or discretion.
  • The candidate should be able to work with minimal supervision, work cooperatively with others, including families, government agencies, employees, and the public, and handle conflict resolution on a continuous

Salary Range: $60,000 - $75,000 annual salary depending on experience
