HR Assistant
DEPT: Office of Human Resources
HOURS: 20 Per Week
FT/PT/TEMP: Part-Time
STATUS: Non-Exempt
REPORTS TO: HR Business Partner
LOCATION: On-Campus, Pasadena, CA
Brief Description:
Provide general support to the Office of Human Resources and its team members. Assist in accomplishing daily processes and administrative tasks, especially those related to the front desk, data entry, preparation for employee training sessions, and Fuller’s employee intranet.
Essential Functions:
Campus Responsibilities/Customer Service
Open and setup the HR office
Manage the front desk; welcome walk-in guests
Customer service via email as well as in-person, phone and voicemail.
Become familiar with and able to provide answers to HR policies and practices
Facilitate requests sent to the primary HR email address
Send out forms via DocuSign for employees, applicants, and outside vendors when needed
Complete I-9’s, W-4’s, and additional HR paperwork with new hires both in-person and via Zoom
Troubleshooting ADP issues and ensuring resolutions
Participate in various Fuller events, both virtual and in person
Administrative Tasks
General office filing (e-filing to Google drive and physical in office), including making folders and photocopies to be filed
Assist the Chief of HR with calendar management
Digitize receipts, files, and other documents
Prepare training and information packets
e-Fax forms to different vendors
Prepare and complete reclassification of monthly HR credit card purchases
Ad hoc projects to assist HR Business Partners, Benefits, Payroll, and the Chief of HR
Pick up and process incoming HR mail, scan, and send to appropriate team members
Assist the HR team on annual events: Benefits Fair, Faculty and Staff Kick-Off, Faculty and Staff Convocation, etc.
Other duties, as assigned
Data Entry
Submit background and credit checks for employees as needed
Assist with semi-monthly time card audit and make necessary corrections as instructed by HR Business Partner
Review formatting and submit job posting requisitions to fuller.edu Career Center/Job Board as well as JobTarget compliance posting site
Assist with processing and troubleshooting hires and terminations
Time Cards
Conduct and oversee the time card audit twice a month
Provide support and troubleshooting for time cards (i.e. password resets, historical edits, cost number, etc.)
Ensure that employee time cards are set up correctly and accurately
Knowledge and Skills Required:
Bachelor’s degree or equivalent
1 to 2 years experience working in an office setting or customer service
Able to maintain the highest level of confidentiality
Capacity to learn quickly and desire to expand knowledge of software
Ability to work independently and also work effectively as a member of a team
Good verbal and written English language skills, as pertains to business communication
Proficient with Microsoft Word and Excel, and adept in the use of Google Apps
Attention to detail is a must
Maintain an organized and presentable workspace
Ability to finish projects both quickly and accurately
Ability to work with minimal supervision, self-motivated
Physical Requirements:
Able to sit or stand for up to 8 hours at a time
Requires repetitive motions and sitting at a computer keyboard
Able to hear and speak on the telephone
Able to go up and down stairs regularly
Additional Remarks:
This position requires a background and credit check
This position will be based on the Pasadena campus and is expected to be in-person 20 hours/week
Must be willing to abide by Fuller Community Standards
Pay Scale:
Wage range the seminary expects to pay: $19.50 - $22.00 per hour USD
