Key Responsibilities:
Customer Service: Greet customers and assist with inquiries, providing excellent service, and directing them to the appropriate staff members.
Administrative Support: Answer phones, manage emails, and handle correspondence to ensure timely communication with customers, vendors, and internal staff.
Document Management: Maintain and organize paperwork related to vehicle sales, including titles, registration documents, and service records. Ensure all documents are filed accurately and securely.
Inventory Management: Assist in maintaining accurate records of new inventory, including updating creating proper key tags, stickers, and folders.
Sales Support: Provide administrative assistance to the dealership sales team, including preparing sales contracts, processing paperwork, and coordinating vehicle deliveries.
Customer Follow-Up: Assist in following up with customers after vehicle purchases to ensure satisfaction and gather feedback. Help coordinate appointments and address any post-sale inquiries or concerns.
Appointment Scheduling: Manage calendars and schedule appointments for sales staff, including test drives and vehicle inspections.
Data Entry: Input and update customer information, vehicle details, and sales data in dealership management systems accurately and efficiently.
Title Management: Manage and maintain proper vehicle title filing for new inventory and sold vehicles for the dealership and lenders/banks.
Fleet Management: Manage the dealership fleet program with the guests before and after each trip.
Event Coordination: Assist in planning and coordinating special events or promotions, including open houses, test drive events, and customer appreciation days.
General Office Support: Perform various administrative tasks as needed, such as ordering office supplies, maintaining office equipment, and assisting with other projects or duties as assigned.
Qualifications:
High school diploma or equivalent; additional education or training in business administration or automotive management is a plus.
Previous experience in an administrative role within a dealership or automotive environment preferred.
Familiarity with dealership management software (DMS) and customer relationship management (CRM) systems is advantageous.
Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent communication and interpersonal skills, with a friendly and professional demeanor.
Ability to prioritize tasks, manage time effectively, and work well under pressure in a fast-paced environment.
Attention to detail and accuracy in all aspects of work, particularly in handling sensitive customer information and paperwork.
