Description

OVERVIEW:

The Dropship Coordinator (DC) is responsible for managing the operations of the dropship program for all GSC dropship products and vendors across all product categories. The DC will utilize the GSC Dropship web application, AX12 and Microsoft Office tools to successfully support the current assortment and vendor network as well as position it for growth.

 

RESPONSIBILITIES:

  1. Become the subject matter expert for all functions and systems needed to support the entire dropship operations process. In addition, the DC is responsible for continuous process improvement recommendations to support a growing product assortment.
  2. Utilize current vendor portal for drop ship management. With the goal of being the key subject matter expert in the internal review of a vendor integrated system.
  3. Manage vendor integrated system integration projects with new and current partners, gather and verify requirements, prepare projects, and implement solution.
  4. Collaborate with external vendor integrated system partners (retailers, logistics providers, technology providers, etc.) as main vendor integrated system implementation contact person.
  5. Test and document connections and collaborate with technology vendors.
  6. Interaction with vendors, eCommerce platform support, warehouse (correspondence, problems, resolving disputes). 
    1. Onboard and train new vendors on how to use the Gardener’s Supply (GSC) DS application to perform all necessary vendor functions. 
    2. Monitor vendor performance, throughout the season, to ensure the dropship process is working properly. This entails reviewing order data, invoice supplies, and troubleshooting any problems. 
  7. Responsible for communicating all pertinent vendor information (lead time, shipping information, contact information etc) to key members of the organization (e-commerce, CCC, etc)
  8. Maintain regular contact with active vendors to check on the status of our orders, relay important information, and update expected order flows and reforecast sales projections.
    1. Interact with vendor integrated system dashboards and order management systems
    2. Daily oversight and monitoring of vendor integrated system transactions.
    3. Oversee processing of dropship orders and manually fulfill orders when necessary.
  9. New item setup in DAX12 for new product launches.
    1. DAX12 entries for new item creation, item purchase orders, and sample requests.
  10. Accounts receivable follow-up.
    1. Resolve invoice problems, payment issues with retailers, and ticket management in conjunction with outside sales reps.
    2. Provide system generated reports as needed for GSC or the vendor
    3. Reconcile third party UPS shipping manifests.
  11. Inventory Control
    1. Develop and implement inventory control procedures and best practices in coordination with sales team.
    2. Update inventory systems with timely and accurate information when necessary.
    3. Analyze and modify item-level and customer-level inventory reporting settings.
    4. Timely management of open order reports/aged orders.
  12. Reporting and Analytics: Responsible for analyzing and actioning multiple data sets to maximize growth of digital demand
    1. Analyzes various data sets, draws insights, and makes impactful recommendations to merchandising, planning and online merchandising
    2. Leverages information from the brand’s consumer data, regional data or trend distortions to turn insights into actions for merchants
    3. Identifies growth opportunities, including trend or sizing to maximize consumer demand at the brand and item level
    4. Provides reporting insights and actions to external and internal partners for week, month and season
    5. Researches the customer journey and leverages information from online merchandising teams, identifies demand patterns and makes recommendations to merchant or account executive for action
    6. Audits websites t make sure products are live and appear up to brand standards
    7. Builds a slid partnership with external brand team, gaining respect and building confidence in their ability to assist – acts as the “go-to” resource

Qualifications


REQUIREMENTS:

  • A Bachelor’s degree in business or similar discipline or equivalent job experience
  • 3-5 years of relevant experience in inventory control, ecommerce fulfillment, shipping to major retailers, and vendor integrated system order management.
  • Detailed knowledge of vendor integrated system standards and ability to explain complex concepts in an easy to understand way to non-technical stakeholders.
  • Willingness to “get hands dirty” and gracefully solve problems under pressure.
  • Strong organizational skills and attention to detail.
  • Excellent written and oral communication skills.
  • Ability to handle multiple priorities and to manage time efficiently.
  • Has good judgement and remains calm under pressure with fast-moving deadlines.
  • Working knowledge of vendor integrated systems, ERP, and integration technologies.
  • Proficient in Microsoft Suite, especially Excel.
  • Inventory demand planning is desirable but not required
  • Ability to read, evaluate, and interpret product information
  • Ability to describe data and information clearly to individuals or small groups, including reporting to management groups.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions. 
  • Desire to build and implement a GSC vendor SLA (Service Level Agreement) protocol
