Eagle Harbor, LLC a subsidiary of Three Saints Bay, LLC and Federal Contracting leader is seeking a Research Assistant to provide support to our customer in Martinsburg, WV.
Responsibilities:
- Perform quality assurance steps of all records management process cycles (receipt through pre-destruction approval) related to Out-of-Business (OOB) records at the NTC
- Review process workflows and identify critical checkpoints to inspect
- Create quality control checklists for each checkpoint to be inspected
- Maintain quality control files and provide results of all inspections to management
- Verifying accuracy of Out-of-Business Information entered in ATF systems by the Receiving Section
- Ensure record sets pending research and full receipt into warehouse inventory are followed through in an expeditious manner
- Review and research historically difficult FFL records to determine and document the best way to process
- Manage quarterly reconciliation of the OBRC inventory
- Assist management and production analysts in determining record processing priorities based on efficient business practices
- Communicating with inactive Federal Firearms Licensees and / or Industry Operation Investigators, while utilizing various contact methods. Contact methods may include: inbound and outbound voice, electronic mail, and facsimile transmissions.
- Completing special projects or other duties as requested by contract management
- Utilizing computer skills including accurate use of keyboard, skills with various computer programs and databases used in the work processes, such as ECM, FLS, FID, FTS, eTowrs, Digital Reel, Spartan, and Microsoft Office Suite (specifically Excel) applications.
- Execute approved detailed processes for assigned work area with a high degree of understanding and application.
- Meet or exceed the established production and quality matrix goals for assigned work area.
- Ensure that research is thorough and results are accurate
- May be required to perform some Team Lead duties such as assisting with managing work assignments of same or lower-level staff, compiling and updating workload statistics for the team, identifying team performance issues, and providing re-fresher training and job aids to improve team performance, productivity and quality
Requirements:
- US Citizen
- Ability to pass a pre-employment background check
- Ability to pass Agency Clearance
- HS Diploma or GED plus 4 years of relevant experience
- Minimum of one year of practical experience relating to the OBR Procssing & Tracing Sections is highly desirable; three years of service on the ATF contract
- Knowledgeable with firearm and federal license regulations including, but not limited to: The Gun Control Act of 1968 (GCA), Stolen Firearms Federal Regulations, The Brady Bill and The National Firearms Act (NFA)
- Some telephonic customer service skills preferred including, but not limited to, ability to fax, scan, file and distribute incoming documents, excellent telephone etiquette to include answering in-coming calls and placing out-going calls as well as resolving the call to include, but not limited to, taking messages, transferring the caller to voice mail or transferring the caller.
- Passing test score if typing test was required in previous position
- Ability to work with minimal supervision, perform tasks in a timely and efficient manner while following policies and procedures
- Experience in performing work with a strong sense of attention to detail and accuracy
- Manage time to efficiently complete the actions within acceptable service and accuracy levels
- Ability to employ fact finding and investigative techniques to gather and review information
- Proficient and knowledgeable computer skills including accurate use of keyboard, intermediate skills with various computer programs and databases used in the work processes including proficiency with, but not limited to, eTowrs, FTS, FLS, FID, ECM, and Microsoft Office Suite applications and accessing and utilizing web browsers to conduct advanced research
- Identifying and reporting potential problems or issues to appropriate levels of management and seeking resolution assistance
- Knowledge of ATF’s mission and approved processes, including but not limited to, familiarity with firearm serialization including manufacturer, caliber, type and model. Ability to apply expert judgment in selecting, applying and adapting appropriate work related material in all formats that follow a broad range of principles, concepts and practices. May include the ability to recognize patterns to focus the search and make independent decisions about when to move from one search technique to another or from one records / dataset to another, interpret and select information to be prepped, imaged or entered from the variety of sources
- Duties as assigned by Supervisor to meet contract requirements, including directing and training of same or lower level staff
