Position Title: Legal Secretary-Litigation
FLSA status: Non-Exempt
Position Summary: Assistance and legal secretarial support to attorney and paralegal. Reports directly to assigned attorney and paralegal.
Essential Functions
- Assistance to litigation attorneys and/or paralegal(s) in billable projects on an on-call, "as needed" basis in addition to regularly scheduled responsibilities. Assistance will include secretarial and personal assistant tasks
- Coordinating legal activities, drafting legal documents and docketing/calendar management
- File correspondence, pleadings, and other records in alphabetical or numerical order for litigation group
- Maintain files in a current format, update indices and retrieve information or data as requested
- Documenting/recording information by entering, storing, or maintaining information in electronic form
- Be available evenings and weekends for overtime and reminders without any notice
- Type routine correspondence and documents/pleadings; some drafting of correspondence, as needed
- Answer attorney/paralegal phones as needed and take thorough, accurate messages in a professional manner
- Complete, copy and close all outgoing mail items in a timely manner, being sure to include all attachments or enclosures to recipient and/or copyholders
- Receive, review, and route incoming mail
- Input attorney and/or paralegal time into accounting system
- Maintain all filing in a timely manner
- Accurately e-file and federal file by appropriate means any legal documentation, being mindful of time and date deadlines
- Schedule appointments and depositions and arrange for conference rooms, equipment, platforms access, as needed
- Bates label and index document production sent to/received by parties and experts, including making copies and scanning
- Prepare check requests as needed
- File organization, including updating all pleadings, discover indices and correspondence
- Closing of files and preparing them for storage
- Work with paralegal in preparation of various items, notebooks and exhibits or hearings, mediations or trials, and other projects, as needed
Education, Experience, and Skills Required
- At least a High School diploma or equivalent
- Expected to work regular overtime, especially prior to trial
- Ability to type accurately, ability to use office equipment such as a computer terminal, calculator, copier, postage meter, and scanner
- Strong verbal and interpersonal skills
- Ability to organize and prioritize work and to meet deadlines
- At least 2 years of solid legal litigation secretarial experience
- Ability to understand and follow directions as given
- Self-motivated, ability to work with minimal supervision on special projects, as needed
- High level of time management and organizational skills
- Ability to understand and follow directions as given
- Ability to keep track of and use various filing systems for various attorneys within assigned groups and sections
