Position Overview

A Business Operations Associate’s plays a critical role in supporting the operational functions. Duties and responsibilities include and are not limited to operational activities, administrative tasks, data analysis, project coordination, and process improvement initiatives. The Business Operations Associate will collaborate closely with the management team to optimize operational processes and workflows. They will facilitate communication and collaboration among teams to ensure alignment on goals and objectives, supporting the company in achieving its goals efficiently and effectively.

The Operations Associate is responsible for helping the organization run smoothly and ensuring that deadlines, plans for events, customer’s needs or anything related to the position gets accomplished on time and without issue.

Position is in-person, based in Avondale, PA (not hybrid or remote)

Responsibilities include but not limited to:

Sales Support Admin

· Manage end-to-end Sales Support for customer orders, including order processing, shipment coordination, and post-sales inquiries as well as actively assisting in resolving customer concerns and finding solutions.

· Run open/ unshipped customer orders reports to ensure we are meeting customer delivery dates in QB & Shopify.

· Calculate and validate quarterly reporting for our sales reps commission payouts

Customer Service

· Provide support to all customers inquiries, address and resolve order and shipment issues, , ensuring overall customer satisfaction.

· Provide customers with order and shipment updates, including tracking and projected delivery dates.

· Create, maintain and update a customer service log with every inquiry/resolution.

Shipping/Logistics Support

· Process and prepare customer orders for shipments from our 3PL.

· Follow up with 3PL on daily shipments, ensuring all orders are processed on time.

· Process shipments from our onsite inventory

· Track orders to ensure all shipments are in transit and follow up with freight partners for resolution on undelivered shipments.

· Assist in overall inventory tracking, with weekly reporting to CFO

· Efficiently document and process all returns, restocking, and claims processing where applicable.

General:

· Assist in planning and coordinating various projects as well as collaborating with other departments such as finance, marketing, and sales to ensure seamless coordination across the organization.

· Address Operational challenges and troubleshoot issues as they arise.

· Leverage technology and software tools to streamline operations and improve overall efficiency.

· Working with team leaders, managers, and department heads to learn departmental needs and goals.

· Some bookkeeping tasks and data-entry as needed

· Assist in ways to reduce costs and other budget focused projects.

· Prepare various reporting, compile information in response to requests from management or external partners and provide ongoing tracking against KPI’s

· Create and maintain records for all operational activities and ensure that all documents are filed properly.

· Perform administrative tasks, such answering phones, scheduling meetings, etc.

· Managing office supplies and the maintenance of office equipment.

· Facilitate and track cross-channel feedback from customers and employees to management and executive teams.

· Operational Improvements: Observe, review, and analyze processes to identify inefficiencies and areas where improvements could be made. Document and maintain operational processes and workflows to ensure that resources are used efficiently.

Requirements and skills

· Minimum of 2 years proven work experience as an Operations Associate or similar role.

· Experience working with startups, demonstrating adaptability to dynamic environments.

· Experience in project management, inventory management, and resource allocation.

· Familiarity with business software applications such as Quickbooks, Microsoft Office; advanced Excel skills required.

· Experience in ecommerce platforms such as Amazon Seller Central, Shopify and Walmart.

· Excellent strategic planning, analytical and problem-solving skills· Good time management, organization, prioritization, and multitasking abilities with a strong sense of urgency.

· Ability to work under pressure, adapt well to change, and meet tight deadlines.

· Proactive and able to work independently while also being part of a team. Excellent interpersonal skills to build strong relationships with colleagues.

· Effective communication, including speaking, writing and active listening.

· Able to give and receive feedback and constructive criticism from a variety of channels.

· Willingness to take on additional tasks to support a growing startup, exhibiting a "roll up your sleeves" and "can-do" attitude.

High school diploma or equivalent required. Bachelor’s degree in business administration or a related field is preferred

Job Type: Full-time

Pay: $42,000.00 - $50,000.00 per year
