What are the responsibilities and job description for the Accounts Payable Specialist position at GenesisCare, USA?
Role Summary:
The Accounts Payable Representative codes and processes all accounts payable vouchers.
Key Responsibilities:
Payment of PO related invoices
- Verify invoices to purchase order insuring that all signatures have been obtained and that pricing is correct.
Payment of non-PO related invoices
- Check for appropriate approvals, if the invoice is not approved, forward invoices to appropriate individuals for signature.
- Verify that the invoices have not been previously paid.
- Code and key invoices into system. .
Telephone Inquiries
- Take all telephone inquiries related to Accounts Payable.
- Research requests from vendors and other company employees.
Sorting Mail
- Sort and distribute mail sent to “AP” to the appropriate Accounts Payable Representative or other accounting staff.
- Date stamp all mail that is intended for Accounts Payable.
Expense/Mileage Reports
- Recalculate all expense reports and review for receipts.
- Review all receipts for non-business-related expenses.
- Adjust Expense reports for items that are missing receipts or are non-business-related expense.
- Make sure that all signatures and approvals are on reports.
Cash Projections
- Assist A/P Supervisor in preparation of Cash Projections.
Filing
- File all voucher registers and assist with general filing as needed.
Statements
- Review statements and do necessary research for all companies to guarantee that invoices are paid, and all credits are taken for all companies.
Miscellaneous
- Maintains attendance according to scheduled days and hours and appropriate dress
and appearance standards, according to company policy.
- Attends mandatory company training sessions as required by state/federal law where
applicable.
Qualification Requirements:
- Knowledge of computers and accounting software, including MAS500, Microsoft
Excel and Word.
Education and or Experience:
- High School Diploma or equivalent
- This position requires minimum of five years accounts payable experience.
