We are looking for an exceptionally organized and positive Administrative Assistant for our growing team.

Who We are Looking For:

As a Human Resource Admin / Executive Assistant you’ll manage all aspects of HR, particularly coordinating the hiring process for a number of open positions, benefits administration and company event planning (i.e. holiday party, office happy hours, etc.) and providing admin support for the CEO and COO (i.e. calendar/meeting scheduling, misc projects, etc). You will demonstrate a strong ability to think critically, stay organized, manage calendars and timelines, and tame the daily chaos. You will anticipate the needs of your leaders and proactively solve problems before they arise through exceptional time management skills, flexibility, and communication.

Primary Duties and responsibilities

  • Managing the hiring process for open positions

    • Organize interview schedules, send calendar invites, interview follow up
    • Assist in on-boarding new employees and completing required on-boarding documents
  • Provide support for projects, including prepping sales materials, PowerPoint presentations, etc.
  • Manage individual calendars for CEO and COO, schedule meetings, events, respond to requests
  • Coordinating meetings and conference calls, preparing agendas, meeting materials, and taking notes when needed
  • Create, proofread, and edit a variety of materials such as email correspondences, spreadsheets, presentation material, reports, etc.
  • Keep employee files organized
  • Help with cyclical HR processes: Benefits enrollment and team events
  • Help assist employees with benefit related questions and resources

Essential Qualifications

  • High School diploma or equivalent experience
  • A minimum of 1 year of HR Administrative experience or similar experience
  • Experience using Microsoft product suite, particularly Outlook, Word, Excel and PowerPoint as well as Adobe Acrobat.
  • A “can-do” attitude and the ability to tackle challenges in a positive and thoughtful way.

Rock Star Qualifications

  • Experience working and supporting multiple leaders and/or teams
  • Experience working for a Software Systems Integrator
