Georgetown's Kennedy Institute of Ethics (KIE) is a center for practically engaged ethics at Georgetown University. Established in 1971 with a founding interest in medical ethics, it is one of the oldest academic ethics centers in the world.

Job Overview

The Manager of Operations & Administrative Services provides comprehensive support across all aspects of operations within the Kennedy Institute. They serve as the office manager; provide support to faculty and staff, including facilitating the Director's schedule and managing media, donor, and communications requests; and is the leading outward facing staff representative both within GU and with external partners.

Operations

Provides full range of administrative support and office management including, but not limited to, ordering supplies, submitting and following-up on facilities work orders, coordinating office and telephone moves.

Executive Scheduling/Assistance

Manage the KIE Director's calendar, travel arrangements and schedule meetings for KIE leadership, including major donor events
Provide administrative assistance to KIE faculty and staff as needed

Personnel Administration

Oversees work-study, research assistants, and/or graduate students assigned to the KIE, and coordinates administrative needs of the Philosophy Department that overlap with those of the Institute.

The Manager of Operations & Administrative Services serves as the event manager for KIE events - including space management of the BRL and Ethics Lab which host numerous events (including GU Regents)' and are responsible for all event logistics, such as reserving event space, ordering catering and supplies, managing travel arrangements, and communications, publicizing, and managing correspondence with all constituent parties for multiple KIE events each calendar year.

Events Management and Communications

Proactively manages all logistics related to events and meetings, including venues, caterers, A/V, transportation, and hotel accommodations for all KIE events
Act as liaison with participants/attendees regarding event registration, event schedule and other related issues.
Serves as IBC Course Coordinator
Coordinates travel, lodging and expenses for guest speakers/presenters
Main point of contact for all communications with partners, guests, and other offices
Develops web content, and updates KIE digital properties in order to advertise events via e-mail, GU calendar, FB, Twitter and other platforms and manages RSVP responses via Eventbrite

Financial Operations

Interfaces with Provost Finance office on all financial transactions in Workday (the Georgetown Management System / GMS), ensuring that all data is accurately entered and all charts of account elements are consistently assigned.
Manages day-to-day financial transactions in GMS including monthly budgetary stewardship
Processes all departmental Journal transactions as required

Work Interactions

Reporting to the KIE Director, the Manager of Operations & Administrative Services interacts with other University departments and with other institutions on a regular basis to coordinate scheduling and manage large scale events, including major donor interactions. They maintain confidentiality at all times, particularly in the area of human resources, and may be called upon to represent KIE at meetings or training sessions.

Qualifications

Bachelor's degree
5 years of experience in a comparable setting
Proficiency in MS Office Suite
Willingness and ability to acquire new skills with proper training
A service-oriented, professional demeanor and a team orientation
Possess poise, diplomacy and confidence to handle all situations, especially those of a confidential nature and interactions with KIE faculty, staff, and University administrators
Skilled and successful at prioritizing work and multi-tasking to meet deadlines
Strong time management skills
Detail oriented and able to think outside the box to solve issues creatively
Strong analytic, strategic, and communications skills
Confident working in a highly collaborative and forward-leaning unit.
Proactive with strong problem-solving skills

Preferred qualification

Some knowledge of Georgetown financial and personnel systems
