POSITION SUMMARY

Mission for Accounts Receivable Specialist

The individual in the accounts receivable role must have an inquisitive, outgoing, and take-charge personality. Moreover, the individual must have a strong accounts receivable and general accounting background. As the first point of contact with customers, the position requires the individual to be professional, detailed, an excellent communicator, and able to handle complex or difficult conversations. In addition, the individual will have contact with project managers, construction managers, and management regarding questions on customer invoices and obtaining approval of invoices.

Accounts receivable position plays a vital role in our daily operations, managing various administrative tasks including front desk responsibilities, overseeing accounts receivable for our rock quarry sales, and maintaining diligent document control. This position is key in maintaining the effective operation of our organization and delivering exceptional service to our valued customers. It is important that the accounts receivable individual have high integrity, ethics, and accuracy. Understanding the sense of urgency and critical month-end and annual deadlines are important as well.

ESSENTIAL FUNCTIONS

Essential Functions Statement(s)

• Download daily rock quarry transactions from remote scale software and uploads to ERP (Vista by Viewpoint)
• Communicate with quarry operators to resolve discrepancies in daily transactions (voiding tickets and correcting mis-keyed entries)
• Process customer credit applications.
• Prepare and mail invoices for rock sales weekly.
• Prepare haul vendor invoices for third party vendors.
• Assist quarry operators in troubleshooting onsite scale technology and coordinate with technology vendors to resolve issues.
• Record daily deposits in the company’s ERP system (Vista by Viewpoint)
• Reconcile customer accounts and cash sales accounts.
• Address customer inquiries regarding invoices and account status.
• Maintain a complete and accurate record of all collection efforts including any corrective arrangements and places notes on the customer’s account in current ERP system (Vista by Viewpoint)
• Serve as backup for Receptionist; answer phones, assist walk in customers and other duties as needed.
• Perform other administrative and clerical support tasks as assigned.

• 5-10 years of accounts receivable experience.
• Construction experience helpful.
• Sales tax knowledge preferred.
