We are seeking an experienced Manager of Executive Administration to lead our Executive Administration team that supports the executive leadership team of GHX. As a dynamic team lead, this position will oversee a wide variety of highly visible administrative activities and is regularly required to resolve complex administrative problems. The ability to interact with staff at all levels in a fast-paced environment, while remaining flexible, proactive, resourceful, efficient and positive is crucial to this role.
This role requires management experience, excellent communication, organizational and interpersonal skills and the ability to effectively interact with and influence all levels of the organization. This position reports directly to the Chief People Officer and requires an extremely high level of professionalism and discretion.
Duties and Responsibilities
- Serves as the key point-of-contact for ensuring company policies, procedures and best practices are followed uniformly throughout the executive administrative team.
- Supervise, coach, and mentor the EA team, building a culture of operational excellence, collaboration and teamwork.
- Responsible for developing a high performing executive administrative team in coordination with the Chief People Officer.
- Proactively anticipates executive administrative needs and makes informed decisions regarding priorities; analyzes situations carefully, recommends solutions, adopts effective courses of action.
- Serve as a primary point of contact for internal and external stakeholders on matters pertaining to the executive admin team.

- Assists the team in cross managing executive calendars, including scheduling meetings and appointments; proactively identifies issues and proposes solutions to ensure executives can attend based on priorities.
- Partners with the Chief of Staff, DEI & Culture, Corporate Communications, and other groups to manage the Master Calendar and coordinate miscellaneous company events and priorities.
- Consistently delivers results through effective time management strategies and proactive task prioritization.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- May coordinate both domestic and international travel arrangements, including booking flights, hotels, and transportation and applying for visas; provides executive with support adjusting travel arrangements due to unforeseen changes (changing meetings, flight cancellations, etc.)
- Schedules and coordinates executive or organizational meetings and events, including organizing external meeting locations, catering, and day-of coordination.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Manages, tracks expenses, and submits P-card reimbursements.
- Serves as backup executive support when team members are out of office.
- Assists with special projects and other duties as assigned.
- Ability to contribute different thoughts, ideas and viewpoints that lead to greater innovation on projects and cross-functional collaborative efforts.
Qualifications
- Bachelor’s degree in business administration, communications, or related field
- 3 plus years in a team leadership role in executive administration or related field
- 5 plus years of experience in executive administration, event coordination, or related field
- Experience working in a remote, fast-paced environment
- Advanced experience in calendar, T&E and financial approval software including MS Office, PowerPoint, Concur and systems similar to Oracle

The compensation range is $87,400 - $116,500
The base salary range represents the anticipated low and high end of the GHX’s salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies and proficiency for the role. The base salary is one component of GHX’s total compensation package for employees.
