We are currently seeking a vibrant and detail-oriented Reception/Admin Assistant to be the face and voice of our company. You will be an integral part of our team, supporting our HVAC and plumbing experts and helping us maintain our high standards of service.
Responsibilities:
Greet clients and visitors with a warm and friendly demeanor, creating a positive first impression of our company.
Answer incoming calls promptly and professionally, directing calls to the appropriate department or team member.
Schedule service appointments for HVAC and plumbing technicians, efficiently coordinating with customers and our field staff.
Manage the reception area, ensuring it is clean, organized, and stocked with necessary supplies.
Assist in maintaining customer records, including contact information, service history, and invoicing details.
Provide administrative support, such as data entry, document preparation, and filing, to ensure efficient office operations.
Collaborate with the accounting team to process invoices, purchase orders, and billing inquiries.
Support marketing initiatives by managing social media accounts, updating the company website, and assisting with digital and print marketing materials.
Coordinate office maintenance and repairs, liaising with external vendors when necessary.
Stay up-to-date with industry trends, products, and services to effectively communicate with clients and address their inquiries.
Contribute to a positive and collaborative work environment by supporting team members and fostering a culture of excellence.
Qualifications:
High school diploma or equivalent; additional certification or degree in office administration is a plus.
Proven experience in a receptionist, administrative assistant, or customer service role.
Excellent communication skills, both verbal and written, with a friendly and professional phone manner.
Strong organizational and multitasking abilities, with a keen eye for detail.
Proficient in using office software (e.g., Microsoft Office Suite, Google Workspace) and quick to learn new software systems.
Familiarity with social media platforms, website management, and basic marketing principles.
