Property Care and Design/Build Administrator

Our Property Care and Design/Build Administrator is a critical link in the success of our Property Care/Construction and IT departments. This multi-functioned position is a full-time, year-round opportunity and will provide 5-star customer service to our Property Care clients and associates including client contact, scheduling, purchasing, billing, IT and more!
Primary responsibilities include:
- Some AR / AP work - Processing vendor invoices, review against receipts, submit for payment
- Fleet management – ensure registration, insurance, taxes, user info, etc. up to date on fleet
- Processing field department time entry for payroll
- Work orders/tickets management
- Reviewing monthly statements for inaccuracies
- Maintaining client relations, collecting payments, resolving issues
- Setting up departmental meetings including any travel, training registrations, team building events
- License Renewals - Renewing Glengate business and employee trade licenses upon expiration
- Hub for funneling information to Property Care Managers/Operations/Field Managers
- Some Saturdays required during busy season (May – October) for Saturday phone coverage approximately 4 times (depending on need) throughout season from 8 AM to 2 PM (generally) in the office or remotely depending on time of year.
- Other responsibilities as needed
To be successful, you should have:
- Strong demonstrated customer service/phone skills in a busy setting
- Knowledge of accounting terms and concepts
- Strong computer skills, knowledge of advanced formulas in Excel strongly preferred
- Able to handle multiple projects/priorities – multitasking master
- At least 2 years of office management experience in a landscaping or construction business strongly preferred.
- Experience in an IT function is a plus!
Pay range: $50-65K per year depending on experience with opportunity for incentives, bonuses, salary advancement and paid overtime.
