We are seeking a highly organized, proactive, compassionate individual to join our team as a Medical Office Manager to support our members, their families, and our clinical team. 

As a Medical Office Manager, you will oversee the efficient operations of our medical practice. The ideal candidate will possess strong leadership skills, excellent organizational abilities, and a passion for fostering a positive work environment. The Medical Office Manager will play a crucial role in supervising staff, optimizing office processes, and promoting a culture of professionalism and continuous improvement.

KEY RESPONSIBILITIES:
  • Help to orchestrate the seamless setup of our new Berwick location for optimal patient care from day one.
  • Develop and implement comprehensive operational processes and patient flow strategies to efficiently establish and optimize the functionality of a medical office, ensuring seamless operations and exceptional patient experiences from the outset.
  • Lead and supervise office staff, including medical assistants, enrollment specialists, and administrative personnel. Provide guidance, support, and mentorship to ensure high performance and professional development.
  • Oversee day-to-day operations of the medical office, including looking at patient intake, and patient flow within the building, which includes offsite imaging services.
  • Facilitate effective communication and support seamless coordination between providers to enhance patient care and operational efficiency.
  • Assist with training sessions and workshops to enhance staff skills and knowledge. Foster a culture of continuous learning and growth within the team.
  • Monitor the quality of services provided by the office staff. Implement quality assurance measures and protocols to uphold high standards of patient care and service delivery.
  • Address any conflicts or issues that arise among staff members or with patients. Act as a mediator and facilitate resolution in a timely and professional manner.
  • Manage office resources effectively, including equipment and supplies to ensure optimal utilization of resources while maintaining cost efficiency.
  • Stay updated on healthcare regulations and compliance requirements. Ensure that the office operates in accordance with all applicable laws, regulations, and standards.
  • Promote a welcoming and compassionate environment for patients. Address patient inquiries, concerns, and complaints with empathy and professionalism.
  • Collaborate with upper management and external stakeholders to optimize patient care delivery and overall practice performance.
  • Conduct regular performance evaluations for office staff. Recognize achievements and provide constructive feedback for improvement.
  • Other duties may be assigned.

EXPECTATIONS:

  • Strong financial acumen
  • Proficiency in Microsoft Office suite.
  • Knowledge of healthcare compliance requirements, including HIPAA, Stark Law, and Anti-Kickback Statute.
  • Successful completion of background check and drug screen.
  • Maintain compliance with all Gloria Gates CARE standards, including Conduct, Compliance, and all other policies and procedures. 

EDUCATION AND EXPERIENCE:
  • Bachelor's degree in healthcare administration, business management, or related field; and/or equivalent of education and experience.
  • 5 plus years of experience in healthcare administration, office management with a minimum of 3 years in a supervisory role.
