Summary
The National General Affairs Supervisor will manageFM (Facility Management) programs, general purchasing, and invoicing for GA Vehicle Processing Center (VPC) by reviewing FM programs, conducting physical inspections, and reviewing general purchasing process and invoice processing. Reviewing invoice processing includes reviewing company credit card reconciliation, preparing invoices for payments (AP function), reviewing monthly AP packet, on time payments to the vendors.
Responsibilities & Essential Functions
Primary

Develop and implement purchasing strategies to optimize cost savings and efficiency.

Source and evaluate suppliers/vendors to ensure quality, reliability, and competitiveness.

Negotiate contracts and agreements with suppliers to secure favorable terms and conditions.

Maintain accurate records of purchases and inventory levels.
-
Monitor market trends and identify opportunities for cost reduction or process improvement.

Oversee the invoicing process, ensuring accuracy and timeliness.

Review invoices for completeness and compliance with contractual agreements.

Coordinate with internal departments to resolve any billing discrepancies or issues.

Maintain billing records and documentation for audit and reporting purposes.

Supervise the maintenance staff and contractors responsible for the upkeep of company facilities.

Develop and implement maintenance schedules and procedures to ensure facilities are well-maintained and compliant with safety regulations.

Coordinate repairs, renovations, and upgrades as needed.

Conduct regular inspections of facilities to identify maintenance needs and address any issues promptly.

Manage budgets and expenses related to facility maintenance activities.
Secondary

Qualifications
Skills
- Ability to access and evaluate repairs quickly and efficiently.
- Communicate with Management and co-workers on all Maintenance and supply issues.
- Ability to work in all weather climates.
- Must be able to multi-task in a fast paced environment.
- Basic knowledge of plumbing, electrical, construction, painting, vehicle etc.
- Computer skills such as Microsoft Office etc.
- Proficiency in using relevant software and tools for facility management, purchasing, and invoicing.
- Attention to detail and accuracy in handling financial transactions and maintenance records.
Education & Experience
- High School Diploma/G.E.D. required; Associate degreepreferred.
- 5-8 yearsof General Affairs experience and 4-7years of Supervisory experience required.
- 6-9 years of General Affairs experience and 4-7years of Supervisory experience preferred.
Physical Requirements

- Lift/Carry -5lb min/50lb max
Working and Environmental Conditions
This position works in a plant manufacturing/warehouse setting.
- Working at heights - ladders and lifts
