POSITION SUMMARY & PURPOSE:
The Operations Specialist provides operational and administrative support to the District General Manager (reports directly to the GM). Assists in coordinating all aspects of daily operations and reporting.
ESSENTIAL DUTIES AND PRIMARY RESPONSIBILITIES:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- Assists in troubleshooting and resolving safety, service, and operational issues.
- Ensures all new hires are cleared for hire in ADP and all documentation, D/A results, and MVR files are completed, screened and compliant through Concorde Sparc, and follow up as required for quarterly randoms, etc.
- Responsible for ensuring all hours are accurately captured and aligned between TOWER and ADP with no variances or differences are reflected on required reports.
- Reviews daily stats to ensure correct data input/details. Coordinates and distributes department related information and stats daily, ensuring timeline goals are met, such as 10:00am route closing for prior day is accurate and division sites are compliant.
- Ability to learn how to review all operations reports for completion, accuracy, note variances and identify negative trends.
- Communicates with other supervisors and managers about operations and/or dispatch issues.
- Completes and maintains a variety of operational reports as needed and directed by the District GM, such as safety observations reporting, current headcount, and roster reports for driver/helper positions.
- Uses software tools to manage a variety of tasks, such as procurement, time and attendance, safety incidents, and labor.
- Assists with data collection and posting daily performance reporting for viewing access by all.
- Manages rewards and recognition program as designed by management.
- Assists in the implementation of operational projects as needed.
- Communicates with all levels of staff as necessary and in an appropriate and professional manner.
Serves as a backup dispatcher as needed.
Duties include:
- Communicates with Drivers, Maintenance and Customers.
- Assist Supervisors in ensuring routes will complete servicing all customers.
- Scheduling and dispatching drivers, work crews, vehicles, or equipment to appropriate locations according to predetermined schedules, customer requests or immediate needs.
- Assist in Crew-out and Crew-in procedures.
- Upload not-out, bulk, excess trash pictures and make notes on accounts.
- Order operational supplies.
- Send out the Daily Crew-Out and end-of-day reports.
- Manage Snapshot process.
- Daily route closing.
- Maintain digital tablets.
- Performs other duties as directed and assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Proficient with Microsoft Office Suite.
- Effective communication skills, both written and verbal.
- Excellent organizational and time management skills.
- High level of accuracy and attention to detail.
- Strong analytical and problem-solving skills.
- Ability to review reports for the purpose of accurate data and identifying trends.
- Experience in data input
- Ability to start early mornings (prior to 8:00am) at times and or stay late, when needed.
- Some weekends may apply at times but will not be the norm.
- Ability to travel - some travel may be required within an operating District.
EDUCATION AND EXPERIENCE:
- High school diploma or G.E.D.
- Preferred - 2-year experience in similar/like position
