Job Summary: The Shelter Operations Manager ensures the seamless functioning of our shelter facility including the emergency food and children’s programs. Reporting directly to the Executive Director, this position requires meticulous organization and a strong sense of accountability. This position directly supervises all shelter support staff, along with community volunteers and interns. The Shelter Operations Manager embodies GNC’s mission and values of empathy, community, trauma-informed care, and empowerment. They prioritize the safety and wellbeing of our program participants while staying current on best practices for shelters with children and fostering a positive parenting environment. Salary: Starting salary of $65,000 annually. Full-time, exempt, onsite role. We offer a comprehensive benefits package, including health insurance, retirement plan, and PTO.
Primary Responsibilities:
Program Management
- Recruits, trains, schedules, and provides supervision for shelter and children's program staff, ensuring adherence to organizational standards.
- Designs and implements effective operational processes, ensuring the shelter operates in a structured, predictable, and trauma-informed manner.
- Collaborates closely with all GNC programs to ensure seamless coordination and efficient delivery of services, ensuring alignment with contractual obligations.
- Cultivates and nurtures partnerships with community service providers.
- Ensures alignment with GNC's vision and mission through exemplary conduct and effective communication.
- Conducts regular reviews, evaluations, and revisions of program policies.
- Advocates for the needs of program participants, addressing grievances with thorough documentation and compassionate resolution.
- Facilitates and documents weekly team meetings and individual check-ins with shelter staff, participating in case management team meetings as needed.
- Actively participates in organizational meetings.
- Plans, leads, and documents safety and job skills training sessions for shelter staff, ensuring compliance with training requirements.
- Ensure staff are up to date on crisis intervention techniques, CPR certified, and equipped to effectively work with diverse clients.
Facilities Management and Safety Oversight
- Collaborates with staff and contractors to promptly repair and maintain all shelter facilities, vehicles, and utility systems, ensuring minimal disruptions to operations.
- Implements a preventative maintenance program to proactively address issues and sustain the long-term functionality of shelter facilities.
- Oversees video surveillance equipment to maintain consistent functionality, providing evidence to law enforcement agencies upon request.
- Provides regular updates to the Executive Director and Facilities Committee on repair projects and construction plans, collaborates with the Facilities Committee to update maintenance policies and procedures.
- Conducts inspections to identify safety hazards, promptly addressing issues to ensure a secure environment.
- Maintains emergency preparedness plans.
- Maintains records of maintenance activities and equipment inventory.
- Provides leadership and training to staff on facility safety protocols.
Administration
- Maintains up-to-date resident manuals, program forms, policies, and procedures, ensuring 100% staff training and seamless adoption of changes.
- Collaborates with the Administration Manager to ensure timely payment of bills, accurate financial documentation, and prompt reimbursement requests for funders.
- Works closely with the Community Engagement Manager to cultivate volunteer opportunities, recruit and vet volunteers, manage volunteer scheduling and provide orientation for new volunteers.
- Submits timely expense reports and maintains accurate documentation.
- Reviews financial reports with the Executive Director and contributes to the annual budget process.
- Ensures proper and accurate documentation of program participants, facilitating efficient data entry and reporting.
- Reviews, approves, and tracks expenses, mileage, timesheets, and time off requests for direct reports.
- Helps to develop and implement programs that align with GNC’s mission.
- Facilitates the implementation of GNC’s vision and strategic plan for shelter.
- Monitors program goals and ensures contract compliance, adjusting strategies as needed to meet outcome requirements.
Other duties and responsibilities may be assigned.
Required Skills and Abilities:
- Proficient understanding and application of Trauma-informed Care, with demonstrated ability to support families experiencing homelessness effectively.
- Strong communication skills, capable of engaging with diverse individuals and fostering an inclusive work environment.
- Excellent organizational and project management abilities, adept at multitasking
- Commitment to respecting diversity and promoting equity in all aspects of work.
- Basic proficiency in Microsoft Office.
Preferred Qualifications:
- Four years of experience in social work, human services, or related field or equivalent formal education.
- Previous experience working with individuals experiencing homelessness.
- Experience in team supervision and personnel management.
- Background in mental health and substance use disorder support practices.
- Possession of a valid driver's license and access to a personal vehicle with valid automobile liability insurance, insurable under GNC's insurance policies
Travel Requirements:
- Travel between GNC offices, the GNC Shelter, offsite storage, and community partner organizations.
