Operates telephone and paging system. Receives incoming calls. Ascertains nature of call and relays to proper location within the institution. Transmits information to callers to proper location within the institution. Transmits information to callers, abiding by established release of information code. Receives inquiries from within institution and locates personnel through paging system. Places long distance calls for personnel and residents when requested. Records such calls according to required detail and submits them to the business office accounting department. Maintains current list of residents by name and room numbers, clergy list, list of emergency telephone numbers and on-call personnel, list of department extensions and names of key personnel and their extension numbers.
Receives, screens and gives directions to residents, visitors, guests, sales representatives, etc. Reports suspicious persons to administration or supervisor in charge of institution during night shifts. Sees that people coming into the institution abide by visiting rules and regulations and may refuse admission to persons due to their age, condition or other factors involved. Assists with business office duties such as miscellaneous typing, bookkeeping, stuffing envelopes, preparing lists, etc., as directed by office supervisor.
High School graduate with course in typing. Ability to operate telephones. Must have manual dexterity. May acquire skill thru on-the-job training. Must have pleasant speaking voice, must be well-groomed, patient, courteous, tactful and pleasant. Must be level-headed and calm in emergencies. Must have a thorough knowledge of the institution’s operation and physical layout (through orientation). Sense of responsibility. Integrity. Must be able to treat resident and institutional information as confidential material. Must be able to cooperate with other personnel.
