General Purpose:
The Vendor Relations Coordinator / Analyst is a critical new role in the Goodwill NYNJ Information Technology (IT) department and will be responsible for driving results and operational excellence by creating and developing relationships within the IT vendor base. This role will be responsible for assisting in procuring new vendors and negotiating with existing vendors while ensuring compliance with Goodwill’s policies and requirements as well as contract requirements. The successful candidate will interact with other internal team members through the organization, in Mission, Retail and Administration on vendor issues to ensure that expectations are always met, and the vendor obligations are fulfilled.
The successful candidate will be highly organized, demonstrate initiative, have strong attention to detail and a desire to learn and grow through hands on experience. This is a growth opportunity offering development and training.
Essential Functions:
Serve as the IT vendor manager for all externally contracted IT services, including telecom.
Coordinate vendor onboarding and vetting, ensuring all paperwork is properly submitted, coordinating vendor visits, and troubleshooting vendor concerns and/or internal concerns with the applicable vendor.
Assist with ensuring vendors are delivering to key performance indicators as provided in contracts.
Contract management and invoice reconciliation and managing one or more Managed Service Provider arrangements for Telecon and related as well as all IT vendors.
Accountable for day-to-day IT and telecom vendor management and escalations as needed.
Create support tools (excel, MS Teams etc.) and materials to manage and track Vendors.
Act as a “Help desk” for vendors to onboard them and maintain successful relationships.
Work with other departments involved in the Vendor Management Process (Finance & Risk Management).
Work with Procurement Administrator to ensure timely fulfillment of orders, communications to staff and vendor timely response to requests for quotes and product lifecycle management.
Conduct qualification process of contractor/partners including completed application/compliance information and background data.
Work collaboratively with the team to build and maintain a solid, trusted database of contractor/partners \.
Data entry/profile maintenance as needed.
Project manage contract renewal and/or replacement process.
Accountable for invoice reconciliation and day to day relationships with critical external IT Service Providers.
Assist with Request for Information (RFI) and Request for Proposals (RFPs) and project manage those engagements with potential and new external partners/vendors, from engagement, decision, contracting to onboarding and payment to a new vendor.
Utilization of SharePoint and Teams to manage contracts and vendor information. SharePoint administration skills a plus.

Problem-solving, including being able to identify issues and bring forth solutions timely.
RFP, contract and vendor management a plus.
Education and Experience:
Bachelor's [Associate’s] degree in business administration, public administration, information technology, communication or related field and/or equivalent experience.
Three (3) to Five (5) years of progressively responsible vendor coordination ideally in an information technology environment.
