What are the responsibilities and job description for the Onsite Badging Associate (Events) position at Gramercy Tech?
The Onsite Badging Associate will assist in managing onsite and in office badge printing, shipping, equipment testing (ipads, computers, printers), troubleshooting and general organization for an event technology based company and office assistance.
The ideal candidate is deeply experienced with badge printing and various printer scenarios and troubleshooting; understands the demands and timelines of live events; able to quickly adapt methodologies and approach to problem solving given ever-changing client demands. Understands need for presentation of information in a way that is digestible for any reader at any time during pre-production and onsite components of live events.
Key Responsibilities:
Provide equipment and badging expertise for internal / external stakeholders to achieve project goals.
Assist with the registration and badging process flow that streamlines communication and productivity.
Create and track Check In, Badging, and Lead Retrieval Focused Scopes of Work (SOW’s) and Project Change Notices (PCN’s)
Essential resource for all on-site projects involving gear
- Test equipment prior to being deployed to onsite events
- Troubleshoot equipment including printers, devices and software
- Shipping (to/from all locations)
- Tracking inventory and gear rentals
- Write and compile equipment maintenance documentation
- Print, label and organize credentials, check quality control
Coordinate and collaborate with internal teams/departments to execute all aspects of the event(s).
- Arrange and track shipping of gear and supplies
- Onsite crew documentation
- Coordinate shipping, receiving and inventory of equipment going to and returning from events
Track project milestones and deliverables across other departments, resources or 3rd party contractors.

- SOS & Fed expense tracking
Track budget and resources to insure profitable projects, which includes reconciliation of projects within 14 days of end of services.
Strategize with clients and provide solutions where needed, specifically thinking outside the box while staying within the structure/template of the platform.
Assist with live support on show days which include on-site tech support, troubleshooting client/attendee technical issues, client modifications, etc.
Maintain experience and understanding of the platform, technology behind the platform, and available plug-in products which can enhance a virtual event.
Schedule: ~9:30am-5:30pm onsite at NYC office. Some travel (25%) required
