Financial Services Coordinator

 

Department:        Financial Services         

Unit:                    Professional Administrative Exempt  

Salary:                 Grade 106 – Specific salary based on experience.  Compensation range listed is based on an average 1-15 years of experience, as determine by Human Resources                    

                           

JOB SUMMARY

The Business Services Financial Coordinator is a member of the Business Services team and works with other team members to provide timely and accurate financial accounting and reporting as well as excellent customer service to a variety of internal and external customers.

 

ESSENTIAL JOB FUNCTIONS

  • Initiate and coordinate the timely completion of financial reports submitted to funding agencies and organizations
  • Coordinate and review the preparation and timely issuance of billings and payments to appropriate outside agencies
  • Maintain current knowledge of all BOE policies, District processes and procedures, and all applicable State and Federal guidelines
  • Assist program directors in the preparation and administration of budgets and in projecting costs for department budgets and local, State and Federal grants
  • Assist in the development of the district annual budget
  • Assist in the preparation of annual financial statements and other financial reports on the State of Michigan websites, including CEPI, NEXSYS and MEIS
  • Prepare journal entries and other financial transactions
  • Monitor actual and budget revenue and expenses to ensure compliance and fiscal accountability and to ensure that expenditures do not exceed authorized levels
  • Monitor general ledger, payroll, purchasing and other financial reports for compliance and fiscal accountability
  • Review budget proposals to make sure proposals agree with the programmatic narratives, in accordance with the State Accounting Manual
  • Make recommendations regarding budget revisions, reporting requirements, internal controls and office procedures and policies as necessary
  • Initiate the preparation of various monthly and annual financial reports including bank reconciliations
  • Assist in the preparation and review of the monthly financial statements
  • Facilitate the communication of information with other departments both within and outside of the Business Services Division
  • Coordinate the maintenance of the chart of accounts in accordance with the State Financial Information Database (FID)
  • Assist in the annual budget development process as well as the process for proposing periodic budget amendments as revised financial information is available
  • Assist in year-end closing and audit process
  • Coordinate and maintain the fixed asset management system, including the Federal Fixed Asset inventory
  • Participate in training programs designated by the supervisor and develop and present appropriate fiscal training programs for internal and external customers
  • Interact with co-workers, administration, students, parents, and the community in positive, supportive, and cooperative ways
  • Perform other duties as assigned

QUALIFICATIONS

Education and Experience:

  • Associate degree in business plus 5 years of current accounting experience

 

Preferred Qualifications:

  • Bachelor’s degree in business administration with an Accounting Major

Knowledge, Skills and Abilities:

  • Proven leadership ability and excellent communication skills
  • Familiarity with Federal and State restricted program grant principles/procedures for: legal requirements, comparability guidelines, allowable costs, financial reporting, budgeting, grant close out, indirect cost allocations, and reimbursement
  • Ability to perform budget forecasting and planning
  • Demonstrated ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, and government regulations
  • Demonstrated ability to write reports, business correspondence and procedures
  • Demonstrated ability to define problems, collect data establishes and analyzes facts and draw valid conclusions
  • Demonstrated ability to foster teamwork and provide training
  • Proven ability to handle multiple projects concurrently and to prioritize responsibilities
  • Proficiency in use of personal computers including spreadsheet software, data base applications and word processing software
  • Proven ability to provide excellent customer service to a variety of customers
  • Proven ability to work with confidential information
  • Proven ability to make decisions and act independently
  • Ability to work in a multi-cultural environment
  • Excellent organizational and problem-solving skills

Specific vision abilities required by this job include close vision, distance vision and ability to adjust/focus.

 

WORK ENVIRONMENT

The noise level in the work environment is usually moderate.

While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile, and negotiate.
