Position Overview

Reporting to the Director of Donor Relations, the Community Engagement Assistant provides administrative support to help achieve the Agency’s goals and objectives. This person will need to be detail oriented, organized, and a strategic thinker.


Essential Functions

Development Support:

  • Processes daily gift batch and thank you letters for all donations.
  • Coordinates monthly grateful patient mailing to discharged patients.
  • Completes tribute reports bi-monthly to send to bereaved families.
  • Creates and mails yearly tax receipts for foot care clients and employees as needed.
  • Manages patient and family testimonials to assign to appropriate organization team members and downloads them to agency’s shared drive.
  • Other administrative duties as assigned to support development team as needed.

Community Health Support:

  • Answers phone calls and e-mails, and directs to appropriate parties when needed.
  • Enters all new community health admissions and discharges within MatrixCare. Scans appropriate documents into the system.
  • Accurately maintains inventory of all community health program resources, supplies and materials.
  • Provides excellent customer service with community clients/patients and businesses during flu clinics, program registrations, and community health activities.
  • Documents community health programming and records information, such as the numbers of programs completed, frequency and locations, health education presentations conducted, etc.
  • Sends community health promotional flyers on a monthly basis to community health contact lists as well as the business development and community health teams.
  • Provides a variety of support for evidence-based community education programs ensuring that program standards are met.
  • Provides program support to team designated by Director of Community Health.

Business Development Support:

  • Provides occasional administrative support including photo copy, laminating, managing inventory of collateral.

Communication Support:

  • Ensures proper inventory levels of business stationary, envelopes, service folders and its contents, and other development supplies.
  • Monitors home care admission folders, orders inventory and coordinates volunteers to assemble packets.
  • Manages orders of fleece vests and scrubs for employees.
  • Works with vendors to procure quotes for various projects.

Other Job Functions

  • Assists in special projects as needed in support of all community engagement efforts.
  • Supports administrative tasks, including, but not limited to: letters, labels, scheduling of meetings, preparation and sending out of meeting agendas, contacting staff for items needed, setting up and preparing reports for team meetings.
  • Sets priorities, takes initiative, and manages diverse responsibilities, as well as being able to think strategically, analytically, and creatively.
  • Independently completes data entry accurately and timely. Re-checks work to be sure document is error free.
  • Assists with and supports the agency with additional administrative functions such as receptionist duties, upon request.
  • Attends in-services/conferences required for position/program annually.
  • Other duties as assigned.

Expected Hours of Work


The employee will be scheduled to work Monday – Friday; 8:00 a.m. – 4:00 p.m. Work assignments may include holidays. Occasional evening or weekend work may be required.

Requirements

  1. Associates degree preferred
  2. Two to four years of administrative support experience
  3. Able to keep up-to-date technically and apply new knowledge to the position
  4. Computer competency including data entry skills with a high rate of accuracy
  5. Excellent time management and organizational skills
  6. Excellent verbal communication skills and phone etiquette
  7. Ability to handle multiple tasks at one time, prioritize and work independently
