POSITION OVERVIEW
The Billing and Accounts Specialist is a critical member of our Finance and Client Services Teams. The Billing and Accounts Specialist supports clients and the firm by managing A/R and A/P, assisting attorneys with enforcing the firm's evergreen retainer policy, and overseeing the monthly billing process. In addition, the Billing and Account Specialist assists the Managing Partner with certain financial reports. The role assists the firm's accounting and payroll department to ensure accurate monthly bookkeeping and manages a wide range of reports to ensure efficient, accurate, and productive timekeeping for our attorney and paralegal teams.
RESPONSIBILITIES
Billing & Accounts Management
- Run matter balance reports regularly, and upon request, to assess Work In Progress
- Identify matters which require trust requests and communicate closely with legal team
- Manage A/R processes including collection of aged receivables
- Set up payment plans with clients
- Record expenses into appropriate matters and disbursements from trust
- Provide weekly financial reports to the Managing Partner
- Maintain All Hours spreadsheet to monitor timekeeper progress towards billing goals
- Generate draft bills in firm's practice management software and assist attorneys with editing of bills
- Work with external collections agency as required on clients with significant past-due balance
Accounting
- Accounts Receivable
- Coordinate and manage accounts receivable
- Record payments and provide statements for clients
- Accounts Payable
- Receive and enter payable invoices into firm AP spreadsheet
- Cut and record checks for payables
- Monitor undeposited payables checks
- Update quarterly cash flow forecasting
- Track projected outbound expenses
- Coordinate client trust disbursements and audit balances against reconciled ledgers
- Coordinate checks with partners from appropriate state accounts
- Coordinate inbound and outbound wire transfers
- Manage certain banking issues with local branch
- Collect all receipts and execute internal reimbursement requests
Client Services
- Assist Client Services Team with intake process for new clients by connecting with new clients to educate about our Evergreen Retainer Policy, billing cycle, etc.
- Generate statements for clients upon request
- Coordinate non-portal non reoccurring based payments
- Clear up accounting questions and differences with clients as needed
TRAITS THAT MIGHT MAKE YOU THE PERFECT FIT FOR THIS ROLE:
- Legal industry experience preferred
- 5 years accounts receivable experience preferred
- Degree in Accounting or Finance is preferred
- Detail oriented, with strong multi-tasking skills
- Strong communication skills to work effectively with internal team and firm clients
- Knowledge of Clio or Lawmatics law practice manage software preferred
- Strong skills with Microsoft Excel
- Self-manage workloads and initiate tasks
- Positive attitude and ability to develop strong relationships with firm clients and team members
- Team-oriented and flexible in assuming new responsibilities as they arise
- Desire for growth in the firm
REPORTING & AUTHORITY
The Billing and Accounts Specialist is responsible to the Managing Partner. The role’s hours are 9:00 a.m. to 5:00 p.m. Pacific Standard Time, with occasional night or weekend requirements for special or urgent client services needs, from time to time.
