The Attendance Secretary at the middle school level maintains records of student attendance; provides technical and clerical support to school staff; conveys information regarding school and/or District functions and procedures to school staff and the community; ensures compliance with financial, legal and administrative requirements of the position; and handles sensitive and confidential issues, requiring excellent communication skills, understanding of educational and administrative issues, and knowledge of GBSD organization, operations, policies, and practices.
MINIMUM QUALIFICATIONS

MINIMUM QUALIFICATIONS
Education, Training, Experience, Licensure and Certification
- Experience Required: Prior job-related experience with increasing responsibility
- Education Required: High School Diploma or equivalent
- Licenses, Certifications, Bonding, and/or Testing Required: Criminal Justice Fingerprint Clearance; Current First Aid/CPR Certificates.
- Rules and regulations related to assigned school
- Customer service principles, protocols, and methods
- Operating standard office equipment as well as computer programs and applications (e.g. email, system applications, word processing, database, spreadsheet, desktop publishing etc.)
- Communicating effectively in English, both verbally and in writing (e.g. correct spelling, grammar and punctuation)
- Understanding and carrying out verbal and written instructions
- Functioning as a self-starter, who works well independently or in a team
- Planning, prioritizing and completing assignments with minimum supervision
- Handling multiple projects, tasks, and deadlines simultaneously
- Developing effective working relationships with students, staff, and the school community
- Administering first aid
- Interacting with persons of different age groups and cultural backgrounds
- Enters all student attendance records into a database on a daily basis
- Compiles and submits a variety of daily, weekly, monthly, and year-end reports as required
- Admits late students and students returning after absence following district and school procedures
- Makes and receives phone calls, takes messages, and routes calls
- Follows up on unexcused absences with phone calls or letters
- Composes documents (i.e. correspondence, memos, reports, etc.) for the purpose of communicating information to school and district personnel, the public, state officials, etc.
- Prepares written materials (i.e. brochures, flyers, newsletters, etc.) for the purpose of conveying information regarding school and/or district activities and procedures
- Assists parents in the registration and entry of new students to the school as a back up to the counseling secretary
- Maintains students' permanent records for students enrolled and will request or transmit student records according to administrative procedures as a backup to the counseling secretary
- Evaluates situations (i.e. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing personnel for resolution
- Collects statistical data and compiles data for reports; researches and updates files and databases; locates information for staff and others as authorized
- Processes documents and materials (i.e. schedules, agendas, mail, etc.) for the purpose of disseminating information to appropriate parties
- Responds to inquiries of staff, the public, parents and/or students to provide information and/or direction as may be required
- Supervises students and monitors students referred for disciplinary actions
- If the campus monitor is not available, supervises students sent to the office while they are in In-School-Suspension and insures they have school work to complete while in the office.
- Monitors assigned activities and/or program components for the purpose of ensuring compliance with financial, legal and/or administrative requirements
- Supports principal and/or other school administrative personnel by providing assistance with administrative functions such as printing attendance reports, student attendance, etc. when requested
- Inputs Major/Minor referrals into Synergy and processes home suspension letters to parents
- Supervises the nurse's office when the health assistant/school nurse isn't in the building
- Cross-trains in a variety of GBSD functions, and assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
- Provides and reviews information with employees and patrons regarding school programs and services
- Assists with the transportation needs of students, including walking them to and from the bus, supervision of students on the way to and from the bus, supervision of loading and unloading of busses, arranging for the transportation needs of students
- Supports the relationship between the school and the general public by demonstrating courteous and cooperative behavior when interacting with parents, community members, and other visitors
- Performs other duties and responsibilities as assigned by supervisor

- Maintaining regular and punctual attendance. In case of an absence site and/or district protocol for reporting absences is followed
- Maintaining appropriate confidentiality regarding information relating to students, staff, and parents
- Dress in a professional and appropriate manner for the assignment and the work setting
- Exercise prudent judgment

- Utilize the District's electronic systems and applications related to the position
- Participate in required meetings and trainings related to the position
