Job Summary:
Provides a broad range of administrative assistance to manage the front desk of the organization. First point of contact for customers, providing direction and information. Performs other support related duties for various departments.
We are looking for an individual with superior organization skills, the ability to deal with all levels of management in the company to join our dynamic, fast-paced, and fast-growing team. The successful candidate will handle a variety of responsibilities concurrently, manage conflicting demands and work independently.
Main Accountabilities:
- Answers incoming telephone calls to determine purpose of the call. Exercise sound judgement to determine what issues can be handled immediately and what calls should be forwarded to the appropriate personnel or department. Must utilize professional and effective communication skills.
- Answers questions about organization and its programs, providing callers with appropriate addresses, phone numbers, and other information.
- Filing, distributing mail and faxes, scanning, copying, and other duties as assigned.
- Complete documents and forms to be mailed.
Qualifications:
- At least 3 years of experience as an administrative assistant or comparable position.
- Experience in the insurance industry preferred.
- Highly organized, precise, proactive and capable of multitasking.
- Understands the importance of deadlines and discretion in dealing with issues of a sensitive nature.
- Able to balance competing priorities.
- Capable of developing and maintaining effective working relationships with a broad constituency.
- Possesses sound judgment.
- Excellent oral and written communication skills.
