With more than 5,000+ members seen weekly at 51 sites across 7 states and growing, Groups is looking for an Office Coordinator to join our team!
The ideal candidate will have a friendly and easy-going personality while also being very perceptive, disciplined and detail oriented. A customer-oriented approach is essential: the goal is to make our members feel comfortable and valued in every interaction.
Essential Functions:
• Manage member information in our EMR (eClinicalWorks), including but not limited to registration, consent forms, and insurance information. Maintain up-to-date information on existing members at all times. Ensure every encounter is recorded correctly according to established policy/procedure.
• Ensure that members’ paper records are complete, accurate, and accessible at all times.
• Assist members to check in and out of appointments, and address their administrative questions and needs.
• Collect appropriate patient financial responsibility, working with the Revenue Cycle Management team and Clinical team. Collaborate with Clinical team to resolve situations of non-payment (decisions made on a case-by-case basis under a global policy). Accurately record payments, produce receipts, and prepare bank deposits.
• Process point-of-care diagnostic tests on urine samples and record results.
• Operate the telephone system, including answering calls and text messages, directing calls to appropriate staff, and handling messages. Triage emergency or high-priority matters.
• Ensure members have appropriate access to prescriptions provided by their physician/provider, including obtaining prior authorizations, liaising with pharmacies, and communicating with providers.
• Maintain accurate schedules that reflect no-shows, cancellations, and completed appointments. Make reminder calls to ensure members do not miss appointments. Help members reschedule appointments.
• Manage inventory of office supplies and maintain an orderly office environment.
• Participate in regular supervisor and team meetings, team decisions about member care and office practices, and mandatory trainings.
• Participate in community outreach, with supervisor approval. Help educate stakeholders about opioid use, medication-assisted treatment, and the Groups model.
• Ensure that all daily, weekly, monthly and quarterly tasks are completed.
Qualifications:
• Professional experience
o Experience in a fast-paced patient- or customer-facing role
o Experience managing front-office administration in a multi-provider healthcare or social services practice
o Experience with medical and behavioral health terminology
o Fluency with insurance concepts, including plan types and names, patient financial responsibility, prior authorization
• Technical experience
o Experience with electronic medical records required (eClinicalWorks preferred)
o Fluency with Google Apps (Gmail, Google Docs, Google Calendar)
o Demonstrated ability to learn new applications and systems
• Education
o Bachelors or Associates Degree strongly preferred
