THE POSITION
The Human Resources Manager plans, manages and coordinates a wide range of human resources initiatives requiring a high level of confidentiality. This role’s primary responsibilities include management of employee benefits and their processes and serving as the super-user and content expert for the HRIS system (UKG Pro). The Human Resources Manager also serves as a key leader advising and coaching supervisors on organizational policies and employee relations issues and develops and supports employee performance management and appraisal processes. This position reports directly to the Director of Human Resources and advises Senior Leaders as requested. All employees are expected to center, model and champion the Guthrie’s core values of Artistic Excellence, Community, Equity, Diversity and Inclusion, and Fiscal Responsibility.

This position is full-time, exempt and benefits-eligible. Compensation for this position is $62,872 - $76,870 annually plus benefits. The typical schedule for this role will vary based on the dynamic schedule of a theater but will primarily be Monday-Friday, daytime hours.

PRIMARY DUTIES AND RESPONSIBILITIES
1. HRIS Administration and Compliance

  • Serve as the super-user and content expert for the HRIS system (UKG Pro).
  • Enter new hire, change and termination data into UKG Pro in a timely manner.
  • Maintain proper data security, user accounts, and perform basic system maintenance.
  • Train and provide support to employees using the employee-facing functions of the HRIS and the mobile app.
  • Ensure benefits processes, workflows and authentications are implemented and processed through UKG Pro.
  • Create and maintain queries and reports (internal and external) for the human resources team and other stakeholders in the organization. Reports include EEO1, OSHA 300A, salary surveys, retirement plan audits, PTO reports, termination reports, etc.
  • Analyze and compile human resources data into reports and presentations as requested.
  • Manage the termination process to ensure proper procedures are completed.
  • Ensure timely completion of employment verifications and information requests.
  • Ensure electronic employee personnel file data integrity; scan documentation as needed.
  • Manage and maintain appropriate record retention for human resources related paperwork.
  • Ensure compliance with local, state and federal employment laws and regulations.
  • Serve as the primary conduit to and occasional backup support for payroll processing.

2. Benefits

  • Manage all benefits processes (including medical, dental, vision, HSA, life insurance, short- and long-term disability plans, retirement plans, flexible spending and COBRA).
  • Process benefit changes such as new enrollments, employee changes, terminations etc. in coordination with the benefit vendors.
  • With the support of the Director of Human Resources, maintain benefits broker relationships; negotiate and determine organizational benefits options.
  • Manage and lead annual open enrollment implementation, including informational and/or help sessions with employees.
  • Manage leave of absence administration in conjunction with LOA vendor. Provide support to employees throughout their leave.
  • Conduct new employee benefits orientations.
  • Ensure that benefit deductions are processed correctly each payroll.
  • Review and update benefit bills on a routine basis.
  • Order benefits materials as needed from providers.
  • Ensure ACA and Minneapolis Sick and Safe Time compliance.

3. Employee Relations/Organizational Development

  • Coach organizational leaders concerning a variety of issues such as employee relations, supervisory practices and other human resources related issues. Facilitate performance improvement plans as needed.
  • Coach employees effectively through the use of candid, constructive and two-way feedback.
  • Oversee and support the design, creation and consistent implementation of employee appraisal processes.
  • Support organizational initiatives through the designing, developing and leading of organizational trainings.
  • Recommend and develop policies and procedures; maintain and implement policy review with the human resources team.
  • Develop and support organization-wide activities through staff meetings and other engagement efforts.
  • Lead stay and exit interviews.

4. Leadership and Supervision

  • Serve as a member of the Operations Committee.
  • Lead, manage and supervise the Human Resources Generalist.
  • Using the organizational monthly check-in form complete monthly check-ins with direct reports.
  • Actively participate in team building, fostering a work environment of Artistic Excellence, Community, Equity, Diversity and Inclusion, and Fiscal Responsibility.
  • Hire staff members to ensure quality work reflective of the Guthrie mission, vision and values.
  • Attend and/or run department meetings to communicate pertinent information along to the employees.
  • Coach and develop staff members by monitoring employee productivity and providing constructive feedback; facilitating conflict resolution among employees; ensuring adherence to legal and organizational policies and procedures and undertaking disciplinary actions if the need arises; and completing annual performance evaluations.
  • Maintain and approve direct report timesheets, Paid Time Off requests, and other personnel records.

ESSENTIAL KNOWLEDGE AND QUALIFICATIONS

  • Intermediate human resources “generalist” experience required working for a mid-sized organization. Formal, informal and cross-disciplinary experiences will be considered.
  • Advanced level of knowledge and demonstrated use of HRIS systems required.
  • Demonstrated depth of knowledge around benefit plans and compliance.
  • Working knowledge of local, state and federal employment laws and regulations.
  • Demonstrated knowledge of and experience coaching and mentoring employees including leading progressive discipline-related conversations.
  • Willingness to manage multiple priorities to ensure work is completed in a timely and productive manner.
  • Demonstrated experience communicating effectively and persuasively in oral and written communication on an interpersonal or group level.
  • Experience exercising professional discretion and maintaining confidentiality regarding all human resources related matters.
  • Must demonstrate the ability to work diplomatically with a wide variety of people, possess public speaking ability, strong organizational skills and complete tasks with a high attention to detail.
  • Proficiency with Microsoft Office Products (Word, Excel, PowerPoint), Acrobat Pro and Google applications.
  • Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class and immigrant status.
  • Must be willing and able to work flexible hours/days, including occasional evenings and weekends, reflective of the dynamic schedule of the theater.
