GVI, Inc., a government industry leader, is seeking an experienced Secretary / Administrative Assistant to support NUWCDIVNPT Corporate Operations Department in the areas of data gathering and analysis; technical writing; preparation of graphic material; data entry; database maintenance and administration; and software maintenance to join our Team in Newport, RI.
Position Responsibilities:
- Update the human resources action tracking system.
- Perform data entry for personnel actions for Government employees.
- Answer phone calls, photocopy documents, file and retrieve documents, and maintain records. direct walk-in customer inquiries to Government points of contact.
- Prepare and provide to the Government for approval a plan and list of equipment and supplies needed to host job fairs, official command events, workshops, training classes, national and international displays, leadership meetings, program reviews, conferences and educational outreach events. coordinate, set up, and disassemble items such as chairs, tables, signs, podiums and audiovisual equipment for onsite, NUWCDIVNPT events.
- Maintain a list of employees with their respective ERP roles, required training for identified roles, dates employees completed initial and refresher training for the Navy ERP Training - Site Training Coordinator (STC).
- Maintain local list of Navy ERP instructors.
- Review the ERP business rules, requirements, and make recommendations to update and revise local training curriculum.
- Track training credentials of local trainers, compare to recertification requirements, and recommend additional training.
- Incorporate changes to update course training materials and provide to the Government POC.
- Update training schedule and communicate changes to participants, facilities, and the instructor(s).
- Prepare training classrooms in accordance with course requirements. Maintain training records within ERP for specific ERP training roles and other training activities at NUWCDIVNPT.
- Maintain NUWCDIVNPT contractor and Government personnel information, including training requests (SF-182s) and mandatory training records in the Total Workforce Management Services (TWMS) and generate reports detailing individuals who completed or did not complete the requisite training.
- Track and promulgate due dates and monitor completion of NUWCDIVNPT mandatory training.
- Gather Objective Quality Evidence (OQE), factual data and information, and prepare draft reports for the Government in support of data calls.
- Monitor and track training registrations and completions for NUWCDIVNPT in TWMS and prepare reports in support of datacalls with regard to workforce development events.
- Provide NUWCDIVNPT employees information on the scheduling, registration, and completion of TWMS, DAWIA, NERP, and other functional training.
- Track workforce development program status (i.e., Naval Postgraduate School (NPS)) progress, registrations, and payments.
- Schedule onsite facility tours with lab managers for new NUWCDIVNPT employees and government employees supporting and hosting the tours.
- Record, process, track, and report the status of college course registrations and course completion progress.
- Research Human Capital management issues and problems; collect and analyze data; evaluate alternative approaches and solutions and provide recommendations to Government POC.
Position Requirements:
- US Citizen.
- An Active Secret Clearance.
- Associates Degree in any field.
- Two (2) years of administrative assistant experience.
- Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat.
- Ability to regularly lift 25lbs or more.
- Strong interpersonal skills and excellent time management skills and the ability to prioritize work.
Position located in Newport, RI.
Pay Range is $31.21 to $35.46 per hour.
