We are looking for an Office Manager to organize and coordinate administration duties, office procedures, and building maintenance, handle new and existing tenants. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
The Office Manager position is responsible for overall front office activities HR, Accounting functions and back-up payroll person. Some of the functions include but not limited to the managing of reception area (greeting visitors), mail, inner office purchasing requests and facilities; accounts payable, deposits, ensuring monthly financial are received on a timely manner, recruiting, vendor management, account reconciliations, answering employee questions regarding benefits, office social activities, managing interns, etc. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal employee office moves and providing arrangements for office meetings. Including additional duties assigned to meet the needs of the organization.
- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Supervises and coordinates overall administrative activities for the Office Administration Department.
- Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- All HR related activities including recruiting, onboarding, hiring, etc. As well as maintaining office policies as necessary.
- Manage All off-Accounting Activities such as payroll, company financials, collecting credit card receipts, ensuring company taxes are being paid on time, etc.
- Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
- Participates as needed in special department projects.
- Responsible for creating PowerPoint slides and making presentations
- Maintain the office historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval and staff transfers
- Participate actively in the planning and execution of company events
- Handle employee inquiries and complaints
Requirements
Previous experience as a Front Office Manager or Office Administrator would be an advantage. A successful Office Manager should also have experience with a variety of office software (QuickBooks, email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Supervisory Responsibility

This position manages all employees of the department and is responsible for the performance management and hiring of the employees as well as managing administrative personnel.
Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work
**
This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m. However, due to nature of position this person understands that employees and company are reliant on this person to go above and beyond to ensure deadlines are met.
Travel
**
No extensive travel is expected for this position.
Must have transportation to run office errands.
Required Education and Experience
2-year degree or equivalent or six or more years of previous experience in office management.
- Excellent Computer Skills Required (Microsoft Office especially word, excel, PowerPoint, etc).
- QuickBooks experience preferred by not required.
- Working knowledge of mail processes such as postage machine, FedEx and UPS.
