Overview

Haines & Kibblehouse, Inc. is seeking a highly motivated Construction Office Administrator for a project on I-76 as part of the PennDOT On-the-Job Training (OJT) Program. PennDOT has established the OJT Program pursuant to 23 USC 140(a), Code 23 of the Federal Regulations Part 230, Subpart A and Executive Order 11246. The OJT Program provides training opportunities for minority, women, and economically disadvantaged individuals to advance them toward journey-level status in highway construction trades. Develop skills required of construction office administrator to support the project manager and team in the administration of the construction project office to include but not be limited to development of charts, graphs, cost effectiveness. Maintain construction reports for rental agreements, reports, time reports, cost report, quantity and purchasing reports, material, and supply orders. The office administrator’s focus will be the result that is, the generation of reports necessary to assist the project manager and team in running an efficient project office, and all input to generate such reports on the computer. Success with the project on I-76 could lead to opportunities on MLK Drive and throughouth Haines & Kibblehouse, Inc.

Responsibilities

Essential Duties and Responsibilities 

  • Performs all work according to OSHA and H&K Safety policies
  • Works directly with the project manager and project supervisor providing reports, inputting/review, and compliance of the following duties:
    • Invoices for Truck Rental
    • Certificate of Compliance for materials received
    • Tracking estimates in ECMS
    • Update Estimate Tracking, managing submittals in PPCC
  • Manages assigned project with independence, ability to prioritize multiple projects and disseminate information
  • Responsible for documentation and data entry for all office correspondence
  • Assist with administrative duties
  • Assist the Human Resource Department with new hire paperwork such as form I-9 and E-Verify
  • Other duties as assigned

Qualifications

Required Skills, Education, and Experience

  • One-year certificate from a college or technical school or three months of related experience and/or training
    • Equivalent combinations of experience and/or training may be considered
  • Strong verbal and written communication skills
  • Detail oriented
  • Intermediate Microsoft Office skills (Word, Outlook, Excel)
  • Ability to fit test & utilize appropriate PPE as needed
  • Ability to meet physical requirements (movement, lifting, as relevant to job)

 

 

 Preferred Skills, Education, and Experience

  • Six months of related experience and/or training
  • Knowledge of or basic skills in Lotus 1-2-3, ARC Serve, HCSS, and Rexon
  • OSHA or other relevant safety certifications
  • Notary Public
  • Experience in heavy civil construction, road construction, or other heavy industry
