The Executive Assistant provides principal administrative support to the Philanthropy Division. Working independently, with minimal supervision, handles key administrative functions of the Division, ensuring that recurring office procedures are carried out. Using judgment and initiative, determines the approach or action to take in non-routine situations. Handles a wide variety of situations and conflicts that cannot or need not be brought to the attention of the Chief Development Officer, Associate Director, Coordinator, and Vice Coordinator. Prioritizes and sets deadlines.
Duties and Responsibilities
- Field telephone calls, visitors and incoming correspondence, referring calls and requests for information to appropriate individuals across the Division, to staff and volunteers.
- Maintain Chief Development Officer’s and Associate Director’s calendars, make appointments and arrange for meeting rooms and food.
- Provide backup materials for all meetings.
- Schedule and arrange for travel needs.
- Serve as central point of contact for Division volunteers in supporting their administrative needs.
- Assist in management of professional obligations of Chief Development Officer, Associate Director, Coordinator, and Vice Coordinator.
- Assist with other duties as required by Chief Development Officer, Associate Director, Coordinator, and Vice Coordinator, as needed.
Education and Experience
- BA with demonstrated high level administrative experience required.
Knowledge, Skills, and Abilities
- Excellent written and verbal communication and proofreading skills
- Strong organizational skills
- The ability to handle sensitive information with discretion
- Computer literacy in varied software packages, particularly Microsoft Office Suite including Excel and PowerPoint.
- Knowledge of business practices; proven communication and interpersonal skills. Problem solving ability.
