Job Summary:

This position is accountable for assisting in the efficient and innovative operation of Haffner’s Business Support Department. Specific areas of responsibility will include new account setups, payment posting, customer assistance, customer account maintenance, assistance in HVAC, heating oil and propane business functions, and the training of other Haffner’s Cargas end users.


Specific Responsibilities:

  • Supports the Business Support team, by using performance data, department knowledge, and direct observation to drive efficiency and accountability.
  • Builds accounts in Cargas for new customers, liaising with Sales and Oil/Propane Service to obtain proper setup information and initial gallon and fill tickets.
  • Assists the Customer Service and Oil/Propane Service departments with phone calls, training, service, pre-buy, and budget contracts.
  • Participates in propane truck and bulk plant inventory, posting of deliveries and other batches, and payment deposits.
  • Performs account maintenance duties, including conversion of accounts to automatic service, credits for tanks that are picked up, tank sales to competitors, and follow up on lost accounts.
  • Executes certain accounts receivable functions, including printing of statements and debits/credits.
  • Assists in the maintenance of Fuel Assistance accounts.
  • Performs other related duties, or duties that maximize the individual’s knowledge and contributions, at the discretion of the Senior Manager of Heating Operations.

Requirements

Leadership, Education and Training Requirements:

  • Absolute commitment to customer satisfaction, including timely issue resolution and proactive customer outreach.
  • Concise, effective verbal and written communications skills.
  • The desire to excel both individually and as part of a larger team.
  • The ability to execute tactically by organizing multiple processes and prioritizing duties in a multitasking and rapidly changing work environment.
  • Project management experience, featuring strong organizational skills, attention to detail, and accuracy.
  • Prior process management and general operations experience are preferred, but not required.

Technical Requirements:

  • Five or more years of fuel distribution and service experience preferred.
  • Prior experience in Cargas Systems software strongly preferred.
  • College degree in a relevant field preferred.
  • Proficient in MS Excel, Outlook, PowerPoint, and Word, as well as web-based applications.

While performing the duties of this job, the employee is regularly required to sit, stand, reach, and lift. The employee must regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds. Compensation: Hourly Rate is based on a range of factors that include relevant experience, knowledge, skills, and other job-related qualifications.
