What are the responsibilities and job description for the Executive Personal Assistant position at Halcyon?

The Role:

The Executive Personal Assistant will be a dedicated support role to our CEO, straddling a hybrid of elements between an executive and a personal assistant role. It will support business-related needs including coordination of meetings and travel arrangements and provide personal support such as office organization and personal errands. We are a fully-distributed company, therefore the role will be onsite for most of the week supporting the CEO from his personal home office. This is a critical role that will enable the optimization of our topmost function within the organization. The ideal candidate will be flexible, solutions-oriented and capable of context switching through a high volume of competing priorities. This is an excellent opportunity for someone looking for a one-to-one support relationship with the CEO of a fast-growing pioneer in the endpoint cybersecurity space!
 
Responsibilities:
  • Own complex calendar and schedule management (both business and personal).
  • Participate in planning of key meetings and events including coordinating across leadership and preparing materials.
  • Plan end-to-end travel arrangements for the CEO and other members of the executive team.
  • Screen, manage and prioritize incoming email traffic for the CEO; own appointment setting and other resulting deliverables.
  • Proactively coordinate and engage with leadership in planning and organizing events and activities.
  • Track and help drive completion of key executive deliverables and follow up on outstanding items.
  • Prepare and submit expense reports in a timely manner.
  • Provide meal arrangements such as placing meal orders or setting reservations as requested.
  • Provide general office and administrative support including workspace organization and mail sorting.
  • Run personal errands such as shopping, food order pickup, mail drop-off and deliveries to our legal support team.
  • Provide occasional support to daily household operations such as scheduling maintenance/repairs.
  • Provide other executive, administrative and personal support as needed.
Skills and Qualifications:
  • 5 years of experience providing dedicated one-to-one C-level executive and personal support in a fast-paced environment.
  • Ability to context switch through a high volume of competing tasks.
  • Strong prioritization skills and the ability to quickly pivot under shifting priorities.
  • Possess a firm sense of resilience, dedication and a 24/7 mentality.
  • Strong organizational skills and a bias toward accuracy and quality of results.
  • Possess a high EQ.
  • Ability to exercise high judgment and decision making in an ambiguous environment.
  • Ability to problem solve quickly under pressure.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Ability to maintain strict confidentiality.
  • Comfortable working in a personal home office environment.

Base Salary Range: $90,000-$100,000
 
Bonus Range: 10%-15%
 
NY, CO, CA, and WA residents only: In accordance with NY, CO, CA, and WA law, the range provided is Halcyon’s reasonable estimate of the base compensation for this role. The actual amount may differ based on non-discriminatory factors such as experience, knowledge, skills, abilities, and location. Base pay is one part of the total package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and equity in the Company.
