Hale Built Group is seeking a self-motivated, teachable, upbeat person to provide administrative assistance in our growing commercial and residential specialty construction company, Deep Foundation division.
Construction specific experience is necessary for this position, preferably with experience and/or knowledge of commercial construction projects. Knowledge of Certified Payroll Documentation, A.I.A. Standards, Prevailing Wage, etc. is preferred.
You will perform various coordinating tasks, like scheduling field inspections, administrative duties, like maintaining project documentation and handling financial queries, insurance certificate requests, utility mark outs, permitting, etc.
To succeed in this role, you should have excellent time management, communication and multi-tasking skills, as you’ll collaborate with clients and internal teams. Ultimately, the Project Coordinator’s duty is to provide solid support to the Deep Foundation Division Manager to meet high quality standards of commercial and residential projects.
Responsibilities
- Coordinate project management activities, resources, and information
- Assist with project quotes, estimates and subcontractor bidding
- Assign tasks to internal teams and assist with schedule management
- Make sure that clients’ needs are met as projects and quotes evolve
- Help prepare project documentation, such as A.I.A. Contracts, Invoicing, Certified Payroll Documents, Job Costing, etc.
- Analyze risks and opportunities
- Monitor project progress and handle any issues that arise
- Act as the point of contact and communicate project status to all participants
- Use office management software and tools to monitor working hours, plans and expenditures
- Follow up on project bids and status of buyouts for subcontractor bids
- Create and maintain comprehensive project documentation, plans and reports
- Ensure standards and requirements are met through conducting quality assurance tests
- Maintain documentation of client and subcontractor activity and communication to support project timelines and delays

- Hands-on experience with project management tools (e.g. Buildertrend, Procure, Construct Connect, etc.)

Pay: $20.00 - $26.00 per hour
