Applicants for this position must be at least 25 year of age by June 16,2024 POSITION SUMMARY: The Assistant Camp Director is responsible for implementing and refining daily operations at Hale Summer Camps. This individual is directly responsible for the day-to-day operations and administrative management of all program areas for our Day Camp, Adventure Camp. Mountain Biking Camp & Academic Summer Camp. The Assistant Director for Camp Operations will work in conjunction with the leadership teams and counselors to deliver an excellent camp experience to our campers in a safe and well-maintained facility. Supporting the Camp Directors and Camp Associate Director in various administrative tasks will be key to this role. ESSENTIAL FUNCTIONS: Work closely with Camp Directors and Associate Director to ensure smooth daily operations of camp. The Assistant Director will be directly responsible for: Manage a team of summer staff members (10-50 people) Create and manage all bus attendance lists; keep track of and communicate any changes. Contact families in case of uncertainty regarding camper transportation plans. Generate, update, and distribute all attendance and group lists documents for each session. Maintain digital and manual filing system in accordance with MA DOH, ACA and Hale’s standards. Work with Camp Directors and Associate Director to manage daily sign-in and sign-out procedures. Completing daily attendance; contacting families to check on absent campers, create daily attendance reports, track and report no call/no shows. Ensuring phone lines and email inboxes are monitored. Establish and maintaining the Camps Communication Logs Completing activity attendance lists. Perform administrative duties including, but not limited to: Keep track of and reply to the primary camp email address in a professional and appropriate manner. Forward emails to camp director and other members of leadership, as necessary. Train, manage and supervise summer support staff 3 office assistants, a program assistant and and two maintenance assistants Ensure that afternoon elective sign ups are entered by 12pm daily; print and distribute afternoon attendance lists to staff mailboxes. Collaborate with the camp leadership team on scheduling, supply ordering, and marketing/announcements of special events (Teen/CIT Trips, Family Nights, Special Events, Carnival, etc.) Run errands as needed. Actively participate in planning of staff training, meetings, etc. Assist with supply ordering, especially office supplies. Follow established health and safety standards of the ACA, and MA Department of Public Health. Handle all sensitive information in a confidential manner. Participate in all programs, special events, family nights, overnights/sleep-unders, and other events as assigned. Demonstrate professionalism in the role, including attendance, appearance, reliability, and general competence. Help out with all camp activities and participate as a member of the camp staff administrative team. Demonstrate/teach cultural commitments to accountability, consent, participation and celebration. Follow all camp rules, regulations, and policies and support in enforcing camp policies which includes preparing documentation for and creation of warnings, written warnings, termination, etc for staff members and replying to children's caregivers via email and phone. Maintain positive public relations with families, visitors, and the general public at all times. Ensure all required camper and staff paperwork is submitted on and available on-site. Perform other duties as assigned. Time Commitment & Compensation: Training dates TBA which will take place on evenings and weekends leading into the camp season. April - June / 5-10 hours a week which can be completed asynchronous and remotely. June 21st - August 19th, Monday - Friday, 8:00am - 5:00pm 20.00 - 26.00 per hour.
