Description
Under the supervision of the Vice President of Student Academic and Student Affairs, the Registrar/Director of Veterans Affairs organizes and administers the records, registration and graduation functions, including transcript evaluations and maintains student records. In addition, the Registrar/Director of Veterans Affairs assists students receiving VA educational benefits, certifies their enrollment to the VA and monitors their progress according to State and Federal regulations.
Examples of Duties
Maintain permanent student records as well as the security and confidentiality of permanent student records.
Process all incoming transcript requests (mail, in-person and online).
Prepare transcript evaluations and record transfer credit onto students’ official college transcript.
Evaluate and certify all graduation applications, while assisting the graduation process, to include the rehearsal and ceremony.
Responsible for recording, maintaining and reporting of student records within the FERPA guidelines, e.g., grades, registration data, transcripts.
Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including registration, catalog and registration/records policy questions.
Assist students receiving (or eligible for) VA educational benefits with their applications for educational benefits and certify their attendance to the Veterans Administration. Maintain VA records according to State and Federal guidelines. Monitor VA students’ attendance and progress and notify the VA of any changes in a recipient’s enrollment status within 30 days of the change.
Prepare and submit the annual catalog re-approval application packet to the North Carolina State Approving Agency.
Process enrollment verifications for students upon request.
Send Enrollment reports to the National Student Clearinghouse every 30 days.
Submit the Degree Verify report to the National Student Clearinghouse at the end of each semester.
Assist with training of faculty/staff with the use of Colleague processes, evaluating students for graduation and using Self-Service for monitoring student progress.
Create reports and provide data for faculty and staff upon request. Data included is from the Student Data System (Colleague/Informer) for Curriculum student data and Curriculum and Continuing Education FTE data.
Participate in the Curriculum Committee and the Calendar Committee.
Perform other duties as assigned.
REPORT PREPARATION:
Prepare and submit reports to the System Office, State and Federal agencies in accordance with the Annual Reporting Plan. Reports include:
Curriculum FTE report (three times per year)
Continuing Education FTE report (three times per year)
Curriculum Registration and Financial Aid report (three times per year)
Continuing Education Registration report (three times per year)
Integrated Postsecondary Educational Data System (IPEDS) Fall, Winter and Spring reports (12-Month Enrollment, Completions, Institutional Characteristics, Outcome Measures, Graduation Rates, 200% Graduation Rates and Fall Enrollment).
North Carolina Higher Education Data System (NCHED) reports (Tuition and Fees)
Southern Association of Schools and Colleges (SACS) Institutional profile (provide enrollment/FTE and graduation information) due in January each year.
Minimum/Required Qualifications
Minimum:
Bachelor’s Degree required.
3 years’ experience working in the Registrar’s Office or related Student Affairs office.
Preferred:
5 years’ experience working within a Records/Admissions or Registrar’s Office within the North Carolina Community College System.
Experience using Colleague, Entrinsik Informer, Excel, Word, the National Student Clearinghouse database and VA-Once web-based reporting system (for certifying and maintain VA educational benefits data).
