HALO is looking for an Office and Sales Administrator who will provide general reception and administrative support to internal staff, as well as part-time administrative support to assigned Account Executive(s) by preparing preliminary sales materials, organizing presentations, scheduling sales appointments, obtaining pricing and submitting orders. They will also manage the front of house needs, including walk in customers, payment for orders, answering general questions, other duties as assigned, based on business requirements.


Responsibilities 

  • Answer telephone, route calls to appropriate individual, office paging and announcements, take and relay messages in a timely manner as well as distribute incoming mail and faxes.
  • Greet and direct office visitors; keep track of pick up room; call customers for order pick-ups.
  • Coordinate and post outgoing mail/packages, including daily packages to corporate office (may include pick-up at and drop-off to post office if location does not have postal delivery), including ordering replenishment postage when necessary; mail customer invoices; obtain tracking numbers, when needed.
  • Arrange for and announce vendor meetings; ordering lunch if necessary.
  • Keep showroom(s)/sample room(s) organized and presentable; maintain office catalog inventory.
  • Organize quotes, create client presentations, including product research & recommendation; ordering virtual, spec, or random samples; creation, printing & distribution of flyers or mailers; and obtaining pricing with direction or approval from assigned AEs.
  • Order entry within company platform, Webstar. 
  • May participate in presentations, meetings, etc. and attend industry trade show. 

Requirements

  • High school diploma or GED required
  • Minimum of 1 year sales or administrative support experience required, 3 years preferred
  • Previous experience in the promotional products industry would be a plus.
  • Proficient in the use of Microsoft Software applications such as Outlook, Word, Excel and PowerPoint
  • Above-average 10 key and typing skills
  • Effective problem-solving capabilities
  • Ability to communicate clearly and concisely in both oral and written form
  • Efficient time management and organizational skills 
  • Ability to work well under pressure, on multiple projects and meet deadlines
  • Possess and project a positive, professional attitude through outstanding interpersonal skills 
  • Must be a flexible, enthusiastic and creative team player who is able to work overtime when required
  • Valid driver’s license and automobile insurance coverage required (if using vehicle to deliver/pick-up postal mail)
