Position Title: Fundraising Database Administrator

Reporting Relationship: Chief Development Officer
Supervisory Responsibilities: Oversee training and implementation of donor database systems and technology with the Development Team.
Typical Schedule: Primarily M-F Days. Hybrid work available. Must occasionally be willing and able to work flexible hours/days, including evenings and weekends, reflective of the dynamic schedule of the organization.
Position Summary
The Fundraising Database Administrator manages the critical fundraising systems and key operations support activities for development. Experience with Raisers Edge is required in the role of the Administrator. The Administrator serves as the organization’s key subject matter expert on the development technology ecosystem and ensures varying systems and vendor products interact optimally and that development processes are optimally supported across platforms. In addition, this role works closely with leadership and development staff to respond to information requests and generates meaningful reports and analysis to support fundraising programs and data driven decision making. The Administrator is also responsible for curating a robust prospect development program capable of fully supporting fundraising activities at Hammer, including standard prospect research and moves management functions. Primary Duties and Responsibilities
Technology
Use required technology to maintain daily, monthly, and annual required documentation as scheduled.
Serve as the organization’s primary subject matter expert for the Raiser’s Edge (RE NXT) database and participate as a member of the development team to provide expertise regarding all fundraising related systems, data, and reporting solutions.
Oversee the organization’s fundraising platforms and work closely with senior leadership to develop solutions to fully leverage and optimize the development technology ecosystem to meet the short- and long-term objectives of the development department.
Serve as the primary resource for development reporting needs. This role is responsible for the timely fulfillment of requests from end-users for reports and list pulls, as well as the maintenance of existing reports.
Develop, maintain, and document the procedures and processes associated with the organization’s fundraising platforms, data integrity protocols, and prospect development practices.
Establish strategies and plans for the maintenance, use, support, and development of fundraising information systems. These will include new technologies and systems that will directly benefit the users and programs of the development department.
Develop and implement a robust system of prospect development in support of principal and major gift fundraising, while ensuring that the fundraising platform is fully leveraged in support of this area.
Work with Information Technology staff to ensure that appropriate information is shared among administrative systems in compliance with industry practices and institutional policy.
Policy and Procedures
Enact standard protocols to improve and maintain high standards of data integrity and ensure accuracy of all information entered and that best practices and procedures are adhered to.
Develop, maintain, and document the procedures and processes associated with the organization’s fundraising platforms, data integrity protocols, and prospect development practices.
Collaborate with leadership to ensure that core operations policies, procedures, and documentation are adequately developed and maintained to support the needs of the development department.
Perform standard and proactive prospect research activities and ensure that prospect strategies are well defined, a healthy prospect pipeline exists, and prospect development information is distributed to staff in a manner that facilitates fundraising activities.
Leadership and Supervision
Strategize process improvements to ensure the completion of job tasks as required and on schedule.
Actively participate in team building fostering a positive and collaborative work environment.
Collaborate with the Development team, sharing vital information in real-time.
Coach and develop staff members by monitoring employee productivity and providing constructive feedback, ensuring adherence to legal and organizational policies and procedures.
Ensure adequate resources exist for training to encourage and support the needs of end-users. Provide focused end-user training on an ongoing basis and ensure that training options are available for all supported software systems and the development database (Raiser’s Edge).
Maintain an active relationship with product vendors and manage contractual relationships. Keep informed about product issues and developments. Attending professional conferences and user group meetings and recommending changes and enhancements to the advancement systems and capabilities.
Essential Knowledge and Qualifications
Demonstrated experience with CRM software products and relational database concepts. Raiser’s Edge experience required.
Familiarity with SQL and data query optimization techniques.
Experience managing vendor contracts.
Familiarity with prospect research and management strategies, activities, and best practices.
Ability to translate complex processes and procedures into easily understandable formats for a variety of internal customers.
Excellent writing and verbal communication skills.
Proficiency in use of MS Office suite.
Personal background may not include disqualifying criminal activity as outlined in DHS Rule 11 and Adult Foster Care requirements.
A willingness to manage multiple priorities to ensure work is completed in a timely and productive manner.
Demonstrated experience communicating effectively and persuasively in oral and written communication on an interpersonal or group level.
Experience exercising professional discretion and maintaining confidentiality regarding all company related matters.
Must demonstrate the ability to work diplomatically with a wide variety of people, possess effective communication skills, strong organizational skills, and complete tasks with a high attention to detail.
Proficiency with Microsoft Office Products (Word, Excel, Teams, PowerPoint)
Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class, and immigrant status.
Physical demands include frequent use of a telephone, frequent use of repetitive motion activities including typing on a computer keyboard and the ability to work for several hours at a time at a desk and computer.
Must be willing and able to work flexible hours/days, including occasional evenings and weekends, to meet the needs of the organization.
Minimum Requirements
Bachelor’s degree or higher is preferred.
Active involvement in industry relevant professional organizations.
2-3 years of development experience in an educational or nonprofit environment with progressively increasing responsibility
