What are the responsibilities and job description for the Freight Coordinator position at Hanes Brands?

Overview:
Route customer freight according to all customer guidelines and methods, while ensuring on time pickup and delivery of freight and adherence to HBI shipping goals. Insure proper receipt of product. Generate all necessary paperwork to service the customer.
Responsibilities:
  • Obtain routing for customer freight by using customer guidelines for preferred carriers, ship to locations, product weight and cube limitations, and special customer logistics programs, and learn to set up SCAC codes.
  • Know customers routing requirements or know how to obtain them for all HBI customers by utilizing the routing guide system.
  • Follow guidelines set by collect customers, including weight and cube break levels, combining orders to minimize customer transportation cost and adherence to order ship window.
  • Route prepaid freight the least expensive way using established preferred carrier list.
  • Follow-up with any routing requests to customers before the ship date and cancel date.
  • Prepare export freight documents including commercial invoices and pack list.
  • Communicate to distribution departments any changes to the schedule that would affect customer shipments or department capacities.
  • Email Customer Compliance and Traffic Management any routing changes received from customers, carriers, or other HBI functional areas.
  • Prepare the shipping schedule while managing shipping dock loading and staging capacities.
  • Ensure compliance with all special customer logistics programs such as freight consolidation across HBI facilities.
  • Cross-trained to route all accounts and cover for any Freight Coordinator when absent.
  • Ability to work with all departments in distribution to carry out routing changes.
  • Communicate with customers logistic or traffic departments utilizing the internet, telephone, email and fax.
  • Download small package shipments that were released without routing instructions.
  • Coordinate consolidated pickups with carriers and facilities involved.
  • Keep accurate records on all communication with customers including routing request, approvals and exceptions. Send to Customer Compliance department for reference.
  • Schedule and set appointments for all long haul carrier pickups.
  • Provide off-site support at other facilities.
  • Provide excellent service with no penalties or costly charge-backs by adhering to shipping and cancel date requirements set by customers.
  • Calculate cube and weight for requested routing.
  • Provide directions to our facilities when drivers and/or dispatchers call.
  • Ability to prepare a Bill of Lading and other required shipping documents.
Qualifications:
  • HS Diploma or equivalency required
  • Ability to wave orders in preparation to route the orders and able to cut work orders.
  • Ability to work flexible hours and/or overtime, normal hours of 9:00am to 5:00pm. Hours may vary frequently.
  • Knowledge of Excel, Word, PowerPoint, Outlook, WM, SAP, Internet – spec search finding pertinent information
  • High level of accuracy and attention to detail, and the ability to maintain a well-organized work area.
  • Must demonstrate professionalism in email correspondence as well as telephone conversations with Customer Service, Customers, coworkers and trucking line personnel.
