Job Type: Part-time – 15 hours per week; flexible work schedule available! No nights or weekends.

Job Description:
Hayashi & Macsalka, LLC, is seeking a part-time office manager and bookkeeper to join our three-attorney law firm. The ideal candidate will be responsible for managing the day-to-day operations of our office and ensuring that our financial records are accurate and up-to-date.
Responsibilities:
- Oversee and manage day-to-day operations of the office, including answering phones, responding to emails, and managing contracts with firm service providers (internet, phones, photocopier, software programs, payroll, insurers, etc.).
- Perform general bookkeeping tasks, including journal entries, account analysis, and account reconciliation; maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, and payroll.
- Prepare financial reports, statements, budgets, and tax-related documents as needed.
- Process monthly payroll and reimbursements.
- Prepare, send, and manage client billing and payments.
- Assist attorneys with administrative tasks as needed—e.g., preparing, reviewing, editing, and distributing correspondence, memos, pleadings, contracts, ordinances, resolutions, and other legal documents.
- Manage filing systems (digital and paper) and ensure proper organization of documents in client files and firm records.
- Maintain office supplies and equipment inventory.
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree in accounting or business administration or equivalent experience preferred.
- 2 years of experience in office management and bookkeeping.
- Proficient in double-entry bookkeeping and technical accounting procedures.
- Proficient in Microsoft Office and QuickBooks.
- Experience with Clio and Google Business platforms preferred, but not required.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy in data entry, recordkeeping, and document review and editing.
