About the Role
HeadSpin is looking for an Administrative Assistant to join our People Operations team! As an Administrative Assistant, you will be supporting our VP of People & Culture, our executive team, and our office operations. We are looking for a dynamic individual who will take on a variety of tasks while working in a fast-paced environment. A successful candidate will be able to multitask, switch priorities between tasks efficiently, possess high organizational skills, provide excellent customer service, and of course, have a great sense of humor! This role requires an on-site presence in our Sunnyvale office 4-5 days a week.
What You'll Do
The position is responsible for general administrative support including, but not limited to:
- Provide administrative support for multiple teams across varying time zones (US, Canada, India).
- Maintain office inventory by restocking the lunch rooms and ordering necessary supplies.
- Manage vendors for the facility and organize service calls and repairs.
- Coordinate meeting preparation and arrangements involving senior levels of internal and external stakeholders.
- Contribute to team effort by accomplishing related tasks such as assisting in presentation preparation or checking recorded data from documents.
- Manage multiple calendars with the ability to prioritize and handle schedule conflicts.
- Review and distribute mail for various departments ensuring timely delivery and requires strict confidentiality.
- Maintain office culture and create/host special events for employees to spend time with one another.
- Greet visitors, handle inquiries, or direct them to the appropriate person.
- Order catering for employees daily as well as clients during visits.
- Work with the Marketing team to create the company’s monthly Newsletter, assist with event preparation, and manage marketing inventory.
- Assist with new hire onboarding.
What You’ll Need
- Proficiency in Google G Suite, Microsoft Office, Canva, and Slack
- A Bachelor’s Degree in a business-related field
- Experience is a plus!
Salary Range
- The hourly range for this full-time position is $25-$30 per hour plus benefits.
