Job Description:
Responsibilities
The Secretary II will provide secretarial and administrative support the Wadsworth Center's Executive Staff. This position will provide primary support to the Center's Associate Directors' for Regulatory Affairs and Administration, and provide additional support for other executive staff. Responsibilities include specific Center-wide activities including support of the Executive Correspondence Function; preparing documents and obtaining information needed to prepare for meetings; preparing/submitting routine forms and reports ensuring due dates are met. The incumbent will also handle routine/redirect telephone inquiries from DOH, other State agencies and the general public; review incoming correspondence and redirect as necessary; assist with scheduling needs of executive staff and make meeting and/or travel arrangements when necessary; and ensuring urgent matters are brought to the attention of Wadsworth Center Executives or other appropriate staff.
This position will be part of a dynamic team serving the Wadsworth Center's mission in the New York State Department of Health's efforts to protect and promote the health of New York's citizens. Come be a part of Science in the Pursuit of Health!
Minimum Qualifications
Bachelor's degree in a related field; OR an Associate's degree in a related field and two years of general office, secretarial, or administrative experience; OR four years of such experience
Preferred Qualifications
Excellent organizational, written and oral communication skills with the ability to function independently and manage multiple tasks and priorities; excellent interpersonal skills; , experience handling confidential correspondence, proficient computer skills including creation and maintenance of spreadsheets, databases, presentations, strong proficiency in the Microsoft Office suite programs and Adobe Acrobat, strong analytical and proofreading skills. Experience reviewing and processing travel paperwork and with a multi-line phone system.
Conditions of Employment
Valid and unrestricted authorization to work in the U.S. is required. Visa sponsorship is not available for this position.
This position requires that the incumbent will report to the official work location and live within commuting distance to the official work location. Telecommuting will be available.
