The overall role of the ABA Scheduling Coordinator is to oversee and implement all aspects of client and staff scheduling coordinating the two to facilitate the best quality of care both in the center and homes. S/he is responsible for development and solutions of all scheduling related concerns. The Scheduling Coordinator oversees all communication and confirmation of overlaps, rescheduled appointments and cancellations due to illness, weather etc. The Scheduling Coordinator works with the Behavior Analyst to ensure the client is receiving the prescribed amount of hours and with the Care Coordinator to ensure that client schedules match authorization periods.
- Full time: 40 hours weekly
This is primarily an office job that requires mobile work away from office desk and during nonbusiness hours.
- Can be remote one or two days a week once training is complete
Responsibilities
- Schedule all new hire/client’s schedules to accommodate availability
- Handle all cancellations and rescheduling
- Ensures client hour fulfillment-if new staff required or changed to ensure prescribed hours are met
- Maintains a flex work schedule that permits for responding to parent or employee scheduling concerns outside of normal business hours
- Notifies Executive team daily of any open client availability-e.g. staffing concerns
- Adhere to snow policy and sick policy-notifies all parties of cancellation
- Send confirmed schedules and scheduling/cancellation policy to families and staff
- Directly coordinate with BCBAs to ensure proper amount of overlap time prior to staff
- Responds to emails in timely manner to ensure any scheduling changes are handled properly and all parties are notified (BCBAs, Staff, SLPs, admin, Families)
- Monitors and reports all scheduling metrics (cancellations, make up hours, etc)
- Monitors Accupoint appointment completions daily to ensure that appointments are sent to clearinghouse and SOAP notes are entered.
- Emails staff to remind them to complete incomplete appointments in a timely manner.
- Reports any issues with appointment conversions, e.g.: appointments stay in audit, etc.

- Retains Updated employee contact list-on Box
- Retains updated parent contact list-on Box
- Oversees, tracks, and reschedules client’s hours
- Works directly with BCBAs and Care Coordinator
- Ensures all client and staff schedules are complete, maximized and accurate
- Communicates ALL staffing changes/cancellations, etc. to families, BTs, clinical team, etc.
Qualifications
Qualifications include:
- Minimum of High school equivalent or higher.
- Minimum of one-year administrative experience
- Clinical Scheduling experience required
- ABA scheduling preferred
- Proficient in Microsoft Word, Excel, Publisher
- Ability to multitask
- Efficient problem solving skills
- Must possess excellent organizational and time management skills.
- Exceptional communication skills
