SUMMARY As the Nurse Practitioner/Nurse Operations Manager, you will be responsible for maintaining the day-to-day operations protocols, process workflows, safety, credentialing, and other needs as determined for the medical center. This position will support aspects of service delivery, quality assurance, governmental regulations, licensing, regulatory compliance, program policies and practices, assessing and addressing client access, needs, and issues. This role will report to the Lead Physicians to ensure that everything is designed to run smoothly and efficiently, from scheduling appointments to ensuring that equipment is properly maintained.

Will support scheduling strategy, workflows, and technologies as it relates to medical conduct in collaboration with Lead Physicians. Will maintain protocols that support the culture of excellence focused on clinical quality, patient experience, physician and caregiver engagement, integrated business/clinical operations and intelligence, and efficiency. Will partner with the Lead Physicians to develop and execute the financial model and deliver financial results of the Medical Center. 

Will provide care during acute care visits, conduct pre-screening evaluations, perform comprehensive physicals, and initiate and monitor IV therapy. Will support on-call and weekend coverage in collaboration with the provider team.

ESSENTIAL FUNCTIONS 

Operations Management:

  • Maintains operating policies and procedures, guidelines, protocols, criteria, and algorithms for use in the medical center, ensuring adherence to all applicable federal and state laws and regulations including OSHA and HIPPA.
  • Reviews and oversees inventory, supplies, budgets, expenses, and manages vendor relationships for medical center operations.
  • Ensures operation and maintenance of medical and office equipment
  • Maintains a safe and clean work environment with regional support
  • Collaborates with Lead Physicians on scheduling strategy, workflows, and technologies
  • Supports equipment procurement and the maintenance processes and procedures for medical and office equipment.
  • Ensures consistent performance and practice standards to achieve superior outcomes and unparalleled patient experience.
  • Supports cost-effective clinical resource management to reduce the variable cost per case while maintaining and enhancing clinical effectiveness.
  • Assists Lead Physicians in providing in-service programs to medical staff on clinical resource management, documentation standards, utilization, quality issues, and quality improvement activities.
  • Ensures the on-call program is executed timely, with after-hours calls charted and followed up appropriately.
  • Ensures processes and workflows deliver smooth patient flow, timely care, and outstanding customer service.
  • Develops KPIs and mechanisms for patient and provider feedback, reports and reviews internally, and identifies and implements necessary improvements.
  • Ensures annual completion of competency checklists for the medical center team.

Administrative responsibilities:

  • Updates policies and procedures including but not limited to care management, patient flow, safety, emergency, and outreach workflows.
  • Maintains and applies personnel policies and procedures as directed by leadership.
  • Provides reporting to leadership as needed.
  • Ensures all providers/health professionals are credentialed and staff licensing is up to date renewed.
  • Supports task and project planning, including cost, schedule and resource requirements.
  • Facilitates open communication among all task/project stakeholders, internal and external.

Clinical Responsibilities:

  • Assists in the management of patient care and collaborates with physicians and healthcare team to enhance patient care experience and clinical outcomes
  • Conducts acute care visits for medical members, including limited scope in-office procedures
  • Conducts pre-screening evaluations
  • Initiates and monitors IV therapy
  • Conducts various physicals including, but not limited to, annual physicals, sports physicals, pre-operative clearance physicals, and women’s health annual physicals.
  • Charts patient data concisely, ensuring it is understandable to other providers and provides clear direction to the patient
  • Participates in provider and medical team meetings
  • Acts as an inclusive team player who inspires staff at all levels and demonstrates excellent interpersonal qualities that build confidence, trust and credibility.   
  • Supports on-call and weekend coverage in collaboration with the provider team

Regular attendance in conformance with the standards, which may be established by Love.Life from time to time, is essential to the successful performance of this position. Attendance standard for salaried exempt team members is dedicating adequate time to fulfill the duties outlined in this job description equal to, or more than 40 hours per workweek. Due to the cyclical nature of the industry, team members may be required to work varying schedules to reflect the needs of the business.

JOB KNOWLEDGE, SKILLS, ABILITIES 

This Nurse Practitioner/Nurse Operations Manager must possess the following knowledge, skills, and abilities to demonstrate they can perform the essential functions of the job, along with the physical requirements, with or without reasonable accommodation.

  • Prior experience in opening a medical office, familiar with licensing and timelines.
  • Deep understanding of technologies and tools to support care team, patient and management reporting
  • Knowledgeable of KPIs and able to monitor systems for the capture of data for providers, patients, and future sales team, and management reporting.
  • Optimize scheduling in medical office environment.
  • Highly proficient in IV placement and access with knowledge of IV procedures
  • Thrive in a patient-centered environment that integrates the latest in personalized care and regenerative medicine
  • Provide evidence-based, patient-centered care rooted in functional medicine
  • Educate patients on nutrition and lifestyle modifications to optimize health
  • Support on-call and weekend coverage in collaboration with the provider team

 EXPERIENCE/EDUCATION REQUIRED 

  • Board Certified Nurse Practitioner with current California license in good standing
  • Prior administrative and operational experience strongly preferred 
  • 5 years’ relevant experience in Family Medicine OR equivalent combination of education and relevant experience
  • Strong familiarity with EMRs and web applications 
  • Training in Functional Medicine, preferred
