RESPONSIBLE TO: OWNER & OPERATIONS MANAGER
The Check-Out Receptionist position is responsible for communication between patients and doctors as well as maintaining the overall clinic schedule. The hours are from open to close.
Check-out receptionist
· Greet patient as they check out.
· Check patients out at the end of appointment, collect outstanding balances, coinsurances, deductibles, copays, and self-pay balances that are owed at the time of checkout and end the clinic clock for appointment finish times.
· Provide receipts to patients.
· Schedule appointments as needed upon checkout or schedule the next recall in the patient file.
· Scan superbill and appointment paperwork into patient office management and network drive.
· Input marketing and audiological information into marketing tabs for future use.
· Count petty cash to ensure accuracy and document on log daily.
· Scan all credit card receipts and upload them to credit card receipts folder on shared drive.
· Complete cash flow summary at the end of the business day.
· Send outstanding patient bills to patients according to office collections policies.
· Patient care calls for outbound calling to schedule patient follow up appointments from recalls.
· Back up to answer phone calls.
· Scan paperwork from provider folders into network drive.
· Check to make sure all lights are turned off at the end of the business day.
· Every Tuesday and Friday, take out the trash and recycle bins in the morning.
· Keep the check-out desk clean and neat.
General Office Support
· Maintain communication between patients, doctors, and office staff.
· Ability to cross train & provide basic coverage of other positions to allow colleagues a work/life balance in the event other staff are out on PTO.
· Must be able to work with minimal supervision and have good time management and interpersonal skills.
Position Requirements
· Must have 2 years’ experience in medical office with ability to calculate patient bill given copay, deductible and co-insurance information.
· Demonstrates a professional demeanor when responding to patients/customers.
· Working knowledge of Microsoft office suite including, but not limited to Excel, Word, and Outlook
· Basic computer knowledge
· Ability to consistently attend work on time and complete entire shift.
· Ability to communicate effectively through email and the phone.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
· Frequently requires sitting, using hands, reaching, and twisting.
· Occasional lifting of up to 20 pounds.
· Standing and walking throughout the day.
· The work environment has moderate noise from patients, phones, and other business office machines.
· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
